University Business Administrators - WFSU
Responsibilities
This position is a member of the WFSU Finance and Administration department. Responsibilities include accounts payable, accounts receivable, data maintenance, P-card maintenance, Travel Rep, FACET Rep, and records management for WFSU.
- Enters accounts payable information into WFSU's internal accounting system, QuickBooks. Maintains and manages WFSU's Accounts Payable log. Processes receipted invoices in OMNI. Helps monitor and ensure the propriety of payments, ensuring compliance with the Florida State University Prompt Payment Policy and other applicable laws, policies, and procedures of the State of Florida and Florida State University. Helps ensure related documentation requirements are fulfilled. Serves as a point of contact with Central Accounts Payable for matters involving the prompt handling of invoice payments.
- Identifies accounting/deposit attributes for revenue received for daily deposit. Inputs daily deposit transactions into the WFSU internal accounting system (QuickBooks) and updates the receivable systems for Auxiliary and Underwriting. Verifies Foundation and Auxiliary Deposits. Serves as a processor for credit card payments for underwriting (Sage) and auxiliary (FD100Ti terminal). Prints WFSU Underwriting monthly invoices. Prepares monthly Underwriting Past Due Report.
- Serves as a P-card Proxy, ensuring guidelines for cards are adhered to for University related purposes and that purchases followed appropriate FSU policies and guidelines. Responsible for monthly P-card reconciliations. Maintains filing for paid and unpaid P-card charges for cardholder.
- Serves as WFSU's travel representative, ensuring travel requests follow the FSU's policies and guidelines prior to approval. Serves as WFSU's FACET representative, responsible for distribution and ensures FACET reports are completed. Responsible for supervisor role certifications for WFSU employees. Assist with various reporting requirements and special financial reporting.
- Responsible for records management and retention. Ensures all financial and human resource records are retained in accordance with University and granting agency guidelines. Ensures files are maintained for audit review. Maintains reconciliation documentation; scans and saves pdfs to appropriate electronic folder. Coordinates the financial and human resource records retention with the FSU Records Management Liaison Officer and Total Recall.
Qualifications
Bachelor's degree or a high school diploma or equivalent and experience equal to four years. (Note: post high-school education and/or experience may substitute at a comparable rate.)

- Knowledge of applicable computer applications and basic computer functions.
- Knowledge of the concepts, principles, and practices of data collection.
- Knowledge of the principles and practices of fiscal control systems.
- Knowledge of accounting systems and practices.
