Administrative Assistant/Accounts Payable Support

Position Summary:
  • Provide administrative support to central staff and perform a variety of administrative duties for the office as needed, including providing coverage to the office’s reception desk and other duties as required.
  • Enters purchase requisitions into the E-Merchant for procurement of goods and services and process invoices for payment. Coordinates with staff, NJIT’s Purchasing and Accounts Payable/ Receivable offices, and vendors to track purchases, receipt of materials, invoices, and payments.
  • Assist finance account managers with the receiving/logging-in contractual/sub recipient invoices. Assist with review of required supporting documentation, and invoice payment processing. Assist with entering purchase requisitions for contractual projects.
  • Assist with maintaining and organizing agency electronic and hard copy files.
  • Assist with maintenance finance and administration departmental records, including scanning, filing, organizing, archiving, etc.

Prerequisite Qualifications:
  • Associate degree in related business field or five years’ experience in accounts payable/accounting/administrative support.
- Strong Proficiency in MS office suite - specifically Word, Excel, Outlook, Teams – is required. Experience with Adobe and pdf forms, SharePoint, E-Merchant and Banner purchasing system a plus. Experience with working with enterprise resource systems like SAP a plus.
  • Candidate must have strong communication, time-management and organizational skills, and good leadership qualities.
  • Proven ability to manage multiple competing priorities simultaneously, be a self-starter, and have problem solving and decision making abilities.
  • At the university's discretion, the education and experience prerequisites may be exempted where the candidate can demonstrate to the satisfaction of the university, an equivalent combination of education and experience specifically preparing the candidate for success in the position
