The Opportunity:
The College of Aviation (COA) at Embry-Riddle Aeronautical University is now hiring an Administrative Assistant in the Flight Training Department at the Daytona Beach, Florida campus. This position supports the Chair of Flight Training/Assistant Dean of the College of Aviation and the staff of the Flight Department. This is a full-time 12-month staff position.
Responsibilities include, but are not limited to:
Managing office operations
- Acting as the first point of contact for visitors to the Chair of Flight Training/Assistant Dean of the College of Aviation – greet visitors and students in a professional, approachable, and cheerful manner.
- Maintaining the Chair’s calendar including scheduling meetings, reserving meeting facilities, distributing incoming mail, and preparation of outgoing mail.
- Answering phone calls, solving issues, directing inquiries, and relaying accurate messages.
- Arranging department tours and meetings for industry professionals.
- Coordinating and overseeing department meetings and functions, procuring catering needs, make arrangements for Materials Management needs, IT needs and Facilities needs as necessary.
- Coordinating Chair’s and other staff members’ travel requirements to include flight arrangements, lodging arrangements, ground transportation arrangements, preparation of itineraries, and assuring the Chair has appropriate tax exemption documents.
- Supporting Chair in the organization of events. Coordinate reservations and logistical arrangements.
- Working closely with the COA Dean’s Office and Department of Aeronautical Science, as well as other departments and University administrators to coordinate administrative items, arrange meetings and room usage, and other administrative needs as necessary.
- Communicating with staff regarding meetings and other departmental items.
Maintaining accurate records and data
- Maintaining staff and instructor pilot records. Scan, file, store and retrieve data for preparation and completion of PRIA (Pilot Records Improvement Act) requests for airlines’ hiring needs.
- Collecting, compiling, analyzing, reviewing and presenting department data metrics using Microsoft Excel, Microsoft Access and/or Microsoft Business Intelligence.
Managing department correspondence
- Writing, drafting, and preparing routine and special correspondence.
- Proofreading and editing department correspondence, correcting grammar and spelling as necessary.
Coordinating department participation in special events
- Coordinating and overseeing department participation in special events including, but not limited to, Family Weekend, Orientation, Preview Week, award ceremonies, and President Safety Day.
Preparing purchase orders and requisitions
Managing, advising, and mentoring the Flight Line Assimilation Program (FLAP student group).
Qualifications
Required Qualifications:
- Associate's degree.
- Minimum of 3-5 years of related administrative work experience.
- Strong technical skills including experience working with Word, Excel, PowerPoint and Outlook, and willingness to learn new software.
- Excellent people skills and strong verbal and written communication skills.
Preferred Qualifications:
- Bachelor’s degree
