Our After School Day Care program is looking to fill a part time (25 hours per week) position of Administrative Assistant.. The part time hours are Monday through Friday 12:00 p.m. - 5:30 p.m. but may be flexible.
Job Summary:
The Administrative Assistant performs all reception, data entry, clerical support, and quality-monitoring tasks as required and assigned by the program.
Duties and Responsibilities:
- Respect the confidential nature of all the program services and the communications therewith.
- Maintain a neat, clean, organized and professional looking environment ensuring office and personnel have the supplies, forms and materials needed for day-to-day operations.
- Perform ordering for sites as needed and directed.
- Receive and communicate with clients and others who telephone or come to the Program by answering incoming calls and directing calls to appropriate staff voice mail, by greeting clients at the front desk.
- Maintain accurate program statistics using established management databases including but not limited to census, In-kind, activity logs, transportation plans etc.
- Maintain up to date employee and site contact information.
- Assist in maintaining the compliance of HR records as directed by the Program Leader.
- Type letters, messages, memos, or other communications as assigned.
- File client record data and other agency materials in accordance with established policy and program practices.
- Provide secretarial backup to the clerical staff of the agency when needed or requested.
- Assist Program Leader in maintaining accuracy of Policy and Procedure manual, copying and distributing materials to Site Coordinators as needed.
- Receive, secure and log payments from parents and follow payment protocol with Accounting Dept..
- Facilitate open and accurate communication within the program, outlying sites and throughout the agency including but not limited to mail distribution.
- Maintain compliance binders as directed by Program Leader including training, staff meeting minutes, etc.
- Assist with site coverage on emergency/as needed basis.
Experience Required:
- An Assistant Group Leader must possess a High School Diploma or equivalent
- Excellent communication
- Organization
- Computer literacy skills
Experience Desired: Office Administrative
**Must be able to successfully pass a CORI/SORI and fingerprint background check.**
