Summary:

The Office Coordinator position is responsible for assisting with multiple department functions in the Fairmont, WV, office. These departments include Operations, HR, Finance, and Safety. Additionally, the Office Coordinator will be responsible for everyday office coordination such as answering phones, delivering mail, coordinating office moves, and maintaining company culture.

Responsibilities and Essential Functions:

Operations

  • Manage office operations – mail, answering phones, ordering office supplies, etc.
  • Order field supplies and maintain inventory.
  • Track and maintain man hours reports.
  • Site contact for material deliveries
  • Data entry into sales database
  • Coding and submitting receipts.
  • Additional projects as assigned by Operations Manager

Human Relations

  • Assist in recruiting for field employees and pre-employment process.
  • Conduct new hire orientation.
    • Review Handbook
    • Verify I-9’s.
    • Review benefits, payroll schedule, etc.
    • Distribute uniforms.
  • Data entry into HCM system
  • Point of contact for field employees to answer questions about payroll, benefits, 401k, etc. or escalate questions to HR.
  • Train and assist employees with company apps.
  • Additional tasks as assigned by the Human Resources Manager

Safety

    • Maintain uniforms.
    • Order uniforms for new hires
    • Monitor uniform costs.
    • Distribute uniforms to new hires.
    • Assist with random drug testing.

Requirements, Knowledge, and Core Competencies:

High school diploma

  • 1-2 years office experience
  • Basic knowledge of the oil & gas industry or other construction industries

Working Environment:

Typical office working environment necessary to perform all essential job functions with reasonable accommodations compliant with EEOC enforced ADA guidelines. This position is primarily indoors, consistent with a standard office position and has a noise level of mostly low to moderate. Outdoor activities may include travel to clients’ project sites and local and out of state offices of the company and its customers, as necessary.
