QinetiQ Inc is seeking an experienced Administrative Assistant to support our customer at our Fort Belvoir facility.

Your Contribution to the Mission:
Greet staff and visitors as they enter the front office

Engage personnel to find out if visitors have a meeting with front office personnel or if they would like to schedule a meeting

Check if management to ensure they have availability for a meeting

Provide friendly support to staff

Support other duties as assigned by Division Chiefs and Branch Chiefs

Answer phones, screen/direct calls and take messages as needed

Handle mailing of outgoing mail and packages

Sort and distribute incoming mail, packages, awards, etc.

Ensure office supplies are stocked and available

Assist in key inventory management

Defense Travel System (DTS) support

Assist with coordination of travel and related items

Process JPAS requests and complete associated DISS forms

Review travel authorization/ vouchers

Build a manageable file system for travel folders

Create and schedule meetings utilizing Microsoft Office/ Teams calendar tool

Use personal calendars for office management and conference room calendars to ensure seamless scheduling

Assist in utilizing Teams to assign, collate and update status of various taskers

Support office management with day to day tasks as needed

Find/ locate personnel at the request from the Division chief via email, teams, cell phone, etc. for correspondence

Create, maintain and distribute division contact list to include office numbers, cell phone numbers, office room numbers, and current emergency contacts

Assist with employee in/out processing, office relocations and related communications with Network Services Branch

Government time keeping support (ATAAPS)

Manage employee timecards as required per pay period

Coordinate work schedule changes (WSC)

Coordinate Division staff events

Reserve space

Make arrangements for food or related needs

Take pictures

To Land This Job, You Need:
High school diploma or general education degree (GED)

2-3 years of clerical, administrative, or office experience

Proficient computer skills, including Microsoft Office

Strong verbal and written communication skills

Comfortable with routinely shifting demands

High degree of attention to detail

Data entry experience

Working knowledge of general office equipment

Job Type: Full Time

Clearance Level Must be Currently Possess:
DOD Secret or Higher
