The Administrative Assistant will directly report to the Inside Sales Manager and perform a variety of clerical, recordkeeping, and customer service-related tasks to assist with smooth operation of the organization.
Primary Responsibilities / Essential Job Functions:

  • Greet and direct clients and visitors.
  • Work Effectively with all departments for maximum efficiency and return on investment in a safe environment.
  • Answers phone calls and emails.
  • Interacts directly with Customers, Vendors, and Employees as required.
  • Responsible for filing of various documents as well as imaging of documents.
  • Review and proofread documents and make necessary updates and suggestions.
  • Enter Purchase Orders office supplies and maintain inventory of supplies.
  • Assist with our Out for Processing operation, ensuring a smooth flow from the Sales requirement, production in-house or at a processing facility, and ultimately shipment to the customer.
  • Material Payables and Nonmaterial Payables
  • Billing
  • Identify areas for continuous improvement for all duties.
  • Participate and answer questions during QMS based audits.
  • Assist in handling any payroll/time clock issues with Payroll department
  • Assist with OSHA paperwork if required at the branch level.
  • Onboard new employees per company standards.
  • Assist other departments (Purchasing and Sales) with projects or tasks as needed.
  • Provide periodic reports of progress on assigned projects to the Inside Sales Manager.
  • Participate and complete all required training activities.
  • Ensure a safe and clean work environment is always maintained.
  • Perform all other duties as assigned or directed.

Required Skills/Abilities:

  • Good organizational and communication skills.
  • Ability to greet visitors, clients, and colleagues in a friendly and courteous manner.
  • Ability to proofread.
  • Ability to multi-task and adapt quickly to changes as well as maintain a high level of attention to detail.
  • Must have strong organizational, time management and interpersonal skills and be able to prioritize work.
  • Ability to work independently and identify and solve problems.
  • Proficient in Microsoft Office Suite or similar software.
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.

Education and Experience:

  • 2-year degree preferred or 2 or more years of experience in Customer Service and/or Administrative
