Note: Position typically works Monday - Friday 8:00 a.m. - 5:00 p.m. but flexibility in schedule is required to meet the needs of the department. Occasional evening and weekend hours will be required.

The purpose of this position is to provide administrative and operational support for two college departments: Institutional Effectiveness (IE) and the Center for Professional Enrichment (CPE). Create, update, and maintain documents, ensuring all documents are accessible and meet all ADA guidelines.
Maintenance and distribution of the ACC professional development calendar and LinkedIn Learning courses. Compile all professional development events in one calendar, create live registration links for ease of access and monitor enrollment numbers. Create, update, and maintain all program information for the CPE. Generate reports of attendance and completion for professional development events and generate and distribute certificates of completion to faculty and instructors who have completed requirements in the Instructor Advancement and Master Teacher Certificate programs.
Attend assessment committee meetings, take minutes, revise and distribute the minutes to committee members. Send out all meeting requests for supervisor, allocate P-Card charges to proper accounts, assemble receipts and bank statement for proper procurement submission monthly. Order supplies for Grant Manager and Institutional Research employees. Make travel arrangements for IE, Grants, and IR staff. Maintain calendars and provide support for accreditation.
Coordinate special events, schedule rooms, complete and submit required room setup forms; create directional signage; set up rooms with food, drinks, decorations, and other supplies; purchase supplies; work with caterers and order food; complete and submit official function forms prior to the event. Coordinate logistics of any review team that visits the campus in regard to assessment or accreditation. Reallocate P-Card purchases for self, the director of the Center for Institutional Effectiveness, the Director of Institutional Research, and the Grants Development Director. Track purchases against allocated budget and reconcile operating account monthly. Compile data of operational expenses for affective budgeting.
Ensure instructor assignments are submitted accurately through the FLAC system for pay. Create EDU courses for non-credit in BANNER and enroll ACC faculty and instructors pursuing professional development credit into the courses. Coordinate with Learning Technology to ensure courses have been developed in the D2L learning management system.
Programs used daily include Microsoft Office 365 to include Word to compose high-level correspondence and reports, edit and distribute memos, etc., utilize Excel to create and maintain spreadsheets, tables and formulas, upload/download and manipulate data in spreadsheets to maintain records; and Outlook to manage calendars, meetings, etc.; and Banner.
Minimum Qualifications: Thirty-six months (36) of clerical experience as listed above and performed as the primary function of the job. Daily interaction with students, faculty and staff require that this position have strong interpersonal, communication and organizational skills. Computer literacy is a must. Effective verbal and written communication skills are necessary for success in this position. Do not use "see resume" statements in application. Substitutions: College, university, or non-correspondence business school course work from an accredited institution in Business or related field may substitute for the clerical experience as listed above on a year for year basis. A copy of your transcript verifying the required credits must be submitted at the time of applying in order to be considered.

Preferred Qualifications: Please provide a detailed description on your application of your relevant work experience and document examples of your work in relation to the following: Experience involving a wide range of clerical responsibilities. Working knowledge of Banner or similar system. High level of speed and accuracy regarding data entry. Attention to detail (ability to check for typographical, grammatical and spelling errors, etc.). Experience and ability to work in a fast paced customer service and data entry environment, and ability to handle multiple tasks simultaneously while meeting targeted deadlines. Experience with problem solving processes. Understand and determine appropriate rules and regulations from various sources. Knowledge in extracting information from various reports. Prior work experience at a community college or other academic environment. Ability to deal with a diverse population with discretion and tact.
