GENERAL DUTIES: Under supervision, provides support for the department by entering and maintaining data, and operating computer tasks. Additional duties include answering phone, distributing mail, greeting and directing visitors. Performs other tasks as needed.
QUALIFICATIONS: High school diploma and 21 years of age minimum required. Experience in Microsoft Word, Excel, and Publisher. A knowledge or background in child welfare, the administration of social programs, and record keeping. Previous State Automated Child Welfare Information System (SACWIS) and Title IV-E program training and experience is preferred.
TASKS PERFORMED:
- Responds to callers and in person inquiries regarding the Court Operations area.
- Greets and directs visitors to the proper location within the facility.
- Collects and distributes internal and external mail for the Court Operations area.
- Orders supplies as needed.
- Maintains conference room schedule for the Court Operations area.
- Maintains and facilitates maintenance requests for all office furniture and equipment.
- Types letters, memos, and other documents for the Court Operations department.
- Creates new forms in Microsoft Excel and Word for various tracking, follow-up, and programming.
- Operates and enters data in the Court’s Case Management System (Proware).
- Assists with tasks related to the daily operation of the Title IV-E program.
- Communicates regularly with the Title IV-E Administrator and probation staff regarding caseloads, program compliance, and data entry requirements.
- Enters all appropriate data in the Statewide Automated Child Welfare Information System (SACWIS).
- Ensures timely completion of the following: Family Assessments, Case Plans, Case Plan Updates, Case Reviews, Semiannual Administrative Reviews (SARs), and Activity Logs.
- Provides daily quality assurance for the Random Moment Sample (RMS) process.
- Takes and maintains minutes from meetings as needed.
- Assists various department heads and the Court Operations department as needed.
- Participates in staff development activities per guidelines.
- Performs other duties as requested by the Court Operations Administrator, Judge, and Administration.
Conditions under which work is performed: Fast paced, multi-functioning office environment. Interacts primarily with Court staff and the public. Generally works regular Court hours. May be required to operate a county vehicle.
Knowledge, skills, and abilities necessary to perform tasks: Fast and accurate typing skills, strong organizational skills, ability to communicate effectively and collaborate with others, thorough knowledge of Court and Title IV-E policies and procedures, time management skills, ability to use a personal computer, and carry out written and oral instructions.
Attitudes necessary to successfully perform tasks: Detail oriented, friendly, patient, professional integrity, dedicated, positive teamwork approach, accepts responsibility, reliable, flexible, and has the ability to work independently.
