SAGES Charter School in Fox Lake is currently seeking a part time School Secretary for the 2023-24 School Year. This position provides services for students, parents, staff, and administrators that will facilitate the efficiency and public relations of the school and District. This is an 8 hour a day, (3) three days per week from 7:30 a.m.-4:00 p.m., 11-month clerical position. PERFORMANCE RESPONSIBILITIES This position description is not intended to be an exhaustive list of all duties, knowledge, or skills associated with this position, but is intended to accurately reflect the essential job elements. Responsibilities include the following: 1. Welcome and screen visitors at the school 2. Assist in collection and maintain of student fees and any other money that comes into the office 3. Assist principal with correspondences, mail, schedule, etc. 4. Assist in preparation of materials for student and staff handbooks, planning guides, etc. 5. Monitor Attendance 6. Enroll new students, create and maintain student files/IC 7. Send student records as needed 8. Compile various reports 9. Prepare necessary paperwork and assist at parent/teacher conferences 10. Receive and route incoming calls and records accurate messages to allow for follow-up 12. Health room/First aid duties in absence of nurse; distribute medications to students; contacts parent(s) when illness or injury occurs 13. Assist with school's newsletter and Principal's memo 14. Enter staff absences into Frontline; coordinates substitutes or coverage from staff 15. Organize and maintain key inventory, field trips, vehicle requests 16. Prepare requisitions/purchase orders for staff and office 17. Ability to establish and maintain positive rapport and communication with staff, students, parents, and the community Proficient in Google, Infinite Campus, and Microsoft Suite Ability to use office equipment and technology and be a resource to staff on use Clerical skills including typing, filing, and duplicating Experience in handling confidential matters Maintain emotional control under stress; work with frequent interruptions Excellent written and verbal skills with a professional demeanor Attention to details and ability to prioritize Organizational skills Ability to problem-solve Adept in continuous improvement and customer service Capacity to multi-task in a fast-paced environment Takes initiative to do what needs to be done without supervision Ability to take and follow directions and also work independently Capability and willingness to be a team player and develop interpersonal relationships while maintaining a professional demeanor Punctual
