The Position

Is checking things off a to-do list and making sure things are in order satisfying to you? Then consider joining our Park Maintenance Operations team as a part-time administrative assistant. This role provides critical support for various aspects of our in-house trail maintenance program, coordination of volunteer recruitment and facilitating trail volunteer events.

The ideal candidate loves working in a team, thrives on keeping things moving and making sure processes are completed properly. We are looking for a detail-oriented, responsible and organized individual who is eager to learn and comes with a high level of proficiency with Microsoft Word and databases. Ability to write summary notes, knowledge of trail maintenance or park maintenance, basic purchasing and agreements is a plus.

Typical schedule is 2 to 4 weekdays, working approximately 4-8 hours per day, during normal business hours. On-site coordination of 8 to 10 Saturday morning events is required.

Key Responsibilities

  • Manage intake of requests for administrative support
  • Prepare documents for technical review by administrators
  • Check for supporting documentation and follow up with parties as needed
  • Update databases accurately and in a timely manner
  • Communicate clearly with staff, managers and volunteers
  • Maintain organized files
  • Respond to public records requests as needed
  • Other administrative support activities as needed

Qualifications

Knowledge of:


  • Microsoft Word, Excel, Outlook and Adobe Acrobat Pro; experience with Microsoft Teams and/or Access a plus
  • Professional communication techniques, both oral and in writing
  • Basic filing systems; physical and electronic
  • Familiarity with contracts and agreements, a plus
Ability to:
  • Understand the administrative support role as facilitating the work of paraprofessional/technical staff
  • Follow prescribed processes and procedures with minimal direction/supervision
  • Proofread accurately under tight timelines
  • Work successfully both independently and in a team environment
  • Demonstrate excellent customer service skills
  • Communicate professionally and effectively with staff at diverse levels of the organization as well as those outside the organization, orally and in writing
  • Use modern office equipment and software

Experience & Education

Experience: Any combination equivalent to experience that could likely provide the required knowledge and abilities would qualify.

Education: Must have high school diploma or G.E.D.
