Administrative Assistant - Professional Development
Job description
JOB PURPOSE
Support the Talent Team, in particular, the Professional Development team, in delivering attorney training and professional development initiatives, programs, and events.
WHERE YOU WILL WORK
This role is designated for a hybrid work schedule with 2 days in office per week to facilitate collaboration with key stakeholders and 3 remote days per week.
ESSENTIAL FUNCTIONS
- Coordinate programs and events for attorneys, including:
- Preparing registration materials and handling other program logistics, such as reserving conference room facilities, identifying and securing technology needed for each program, working with external caterers, and managing potential problems as may arise
- Drafting and distributing program invitations, communications, and materials
- Conducting program analysis and evaluation
- Tracking and reporting on attendance
- Preparing expense reports and budget tracking
- From time to time, serving as a point of contact for internal presenters and outside consultants and vendors
- Oversee CLE application processes with various states and/or training vendors.
- Perform CLE accreditation and tracking.
- Learn and understand the CLE rules per state guidelines, application process, and resources.
- Maintain the firm’s professional development applications or digital platforms, including viCLE, the firm’s CLE tracking software.
- Assist with attorney orientation and integration.
- Support associate mentoring program by tracking mentor assignments and involvement.
- From time to time, support the Professional Development Team by researching and creating drafts of trainings, presentations, and memos about professional development resources and topics.
- Support attorney evaluation process by tracking responses and assisting with follow up communications and professional development needs.
- Assume other responsibilities as needed to support the Professional Development and Talent teams.

EDUCATION AND EXPERIENCE REQUIREMENTS
- Bachelor’s degree required
- Previous experience in training, research and project management strongly preferred
- Ability to work extra hours as needed
PHYSICAL DEMANDS OF POSITION
Work is performed in a professional office environment and requires the following during the work day:
- Must be able to remain in a stationary position for long periods of time (working at a computer)
- Ability to move/traverse about inside the office intermittently throughout the day (attend meetings, access file cabinets, obtain supplies from supply room, etc.)
- Operate computer and other office equipment such as a copy machine, printer, telephone, etc.
- Repetitive movement (i.e. heavy computer/keyboard use).
- Individual will interact regularly with others verbally, in-person, and via written communication.
- May require occasional light lifting (files, copy paper, etc.).
