Salary Range: $70,000 - $75,000

The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

This position will provide administrative support to the Neuro Anesthesia Division and the Division Chief of Obstetric Anesthesia for OB services and Central Administration with accountability to the Departmental Administrator. This person must have excellent computer skills, organizational skills, interpersonal skills, writing skills, and experience with workplace environments that respect privacy and discretion. They will be expected to provide support to ensure the smooth functioning of the Division.

Responsibilities

Neuro Anesthesia Division

Maintain confidential files and records.

Maintain confidential correspondence.

Maintain curriculum vitae and files for members of the Neuro Anesthesia Division.

Coordinate activities and calendars for members of the Division.

Schedule meetings, conferences, and symposia, for the Division.

Arrange tours, and travel details, and prepare itineraries, for Division members as well as for official visits by external personnel including fellow applicants and research collaborators.

Assist in maintaining, coordinating, and re-formatting governmental and non-governmental grants.

Maintain supplies for the division, and process reimbursements and purchase requests.

Maintain multiple databases of expenses for grants, division purchases, and research supplies.

Prepare reports, letters, tables, schedules, and grant proposals.

Maintain files for departmental publications, and conduct library searches for books, journals, etc.

Arrange and maintain slides for internal presentations.

Prepare travel expense reports.

Interact with other divisions in the Department and the University as well as Funding Agencies and other external institutions.

Division Chief of Obstetric Anesthesia for OB services

Manage and maintain calendar and mail correspondence for the OB division chief

Answer telephone calls, take messages and/or respond to inquires

Coordinate and order supplies needed

Manage projects i.e./ weekly coordination between Pharmacy, Biomed, Materials Management, Anesthesia Techs, Procurement

Assist with OR efficiency processes

Assist with standardization of practice between CHONY and Allen

Assist with ColumbiaDoctors Opioid Dashboard project

Assist with the recruitment of OB faculty

Assist with SOAP Board of Director activities

Assist with monthly OB on-call schedule

Assist with L7D OR schedule

Maintain log of daily volume of OB cases

Coordinate OB consult request; generate and print schedule

Assist with weekly multidisciplinary conference and high-risk consultations (Mother Center)

Assist with billing for in/out-patient consults

Coordinator vacation and meeting request

Organize and attend monthly division meetings

Organize and attend division retreats

Create monthly daily and call schedules for residents and fellows and assist with last-minute changes

Assis with dissemination or orientation materials

Maintain a log with resident survey results

Maintain a log of all presentations residents provided during rotation

Coordinator wellness-related activities

Coordinate SIM-related activities for residents on OB anesthesia rotation; send reminders to residents and attendings and coordinate with SIM regarding the schedule for study-related participation

Coordinate the daily resident schedule of lectures, emails reading materials, provide materials for flipped classroom teaching

Organize and facilitate recruitment for fellowship i.e., correspond with applicants; facilitate faculty interviewer schedules; prepare applicant itineraries and handouts; order food for applicants and facilitate the flow of interview day

Perform data entry via MedHub for fellow orientation materials; create and distribute fellow evaluations and schedules; track attendance at lectures; schedule and coordinate outside lectures; arrange MedHub evaluations

Organize and prepare for all committee meetings to include uploading documentation to MedHub including fellow’s progress and reports; document and maintain committee meeting minutes

Update ACGME and ABA websites regarding OB fellowship incoming and existing fellows; milestone reports; ADS reports

Maintain fellows’ portfolios

Organize fellow’s weekly lectures, SIM sessions and MFM Journal Clubs, off-campus fellowship retreat, team-building social events, ect.

Coordinator lectures given by OB fellows and assist with scholarly projects

Assist with duties within Central Administration

Assist with special events

All other duties as assigned

Minimum Qualifications

Requires a bachelor’s degree (or equivalent in education, training, and experience) plus three years of related experience.

Experience with grants, contracts, finances, and healthcare systems is highly desirable.

Must be able to multi-task and be a team member

Must possess excellent communication skills, both verbal and written correspondence and hold all matters in the highest confidential manner

Preferred Qualifications

Experience with MedHub, QGenda and EPIC highly preferred
