Job description
The Administrative Scheduler is responsible for coordinating the entire schedule of a student’s enrollment for Beacon Day School, including, but not limited to scheduling tours for intake, IEP meetings, evaluations and observations. The Administrative Scheduler is responsible for updating and keeping all student cumulative files compliant with district contracts and California Department of Education regulations.
Duties and responsibilities include, but are not limited to:
- Schedule IEP activities with staff, districts and parents, advocates and legal team;
- Schedule all student evaluations, observations, and visits with districts, parents and related parties;
- Prepare for and schedule intake tours regarding admissions and communicating the tour schedule to the admissions manager, teachers, DIS providers, and administration;
- Track, organize, and distribute compete IEPs to teachers, DIS providers, and administrators; follow up with parents/guardians and district representatives for IEP signatures to ensure expedient completion of IEP records;
- Create and maintain an organized tracking system for documents placed in the student’s Beacon Day School file;
- Maintain and organize the students cumulative file to include up to date IEPs, triennial reports, progress reports, parent hand-book acknowledgments, and other required documents;
- Track submission of quarterly progress reports and follow up with teachers and DIS providers to ensure reports are completed in a timely manner;
- Distribute quarterly progress reports to parents/guardians and school districts, and file reports into the student’s cumulative file;
- Track, distribute, and collect parent handbook documents and file documents as appropriate;
- Oversee and manage student record and file archiving through Iron Mountain;
- Maintain Beacon Day School’s scheduling public calendar;
- Provide general meeting support including arranging the conference room for IEPs, maintaining presentable meeting space for school wide meetings;
- Perform as an interpretor and meetings when needed;
- Call parents, districts and parents as needed;
- Translate forms from English to Spanish as needed;
- Assist Clinical Staff including Managers, Program Specialists, and Teachers on assigned projects, as needed
- Assist Executives and Directors on assigned projects, as needed
- Attends meetings and trainings as required;
- Perform other duties as assigned.
Minimum Qualifications:
- Must have a high school Diploma, but a degree in related field preferred;
- Minimum 2 years experience working in an office setting;
- Professional experience in translating preferred.
Job Type: Full-time
Pay: $18.00 - $21.00 per hour
