Title:
Administrative SpecialistDuties and Responsibilities
- Responsible for compliance with Safety, Health and Environmental plan; must be committed to a high standard of safety and be willing and able to comply with all safety laws and all of the Company’s safety policies and rules and must be willing to report safety violations and potential safety violations to appropriate supervisory or management personnel
- Responsible for compliance with the Quality Assurance Plan, policies and procedures
- Responsible for completing all assigned training
- Perform Department essential tasks such as scheduling meetings and conferences, travel, maintenance of databases, correspondence, requisitions, and expense authorizations and reports
- Monitor and maintain all Department e-learning records
- Perform Document custodian activities including maintaining department specific work instructions, process models and Master List(s) of Records /Documents.
- Coordination of various employee recognition awards, ceremonies and events
- Lead process and interact with primary customer managers to gather information and generate key, and often complex, deliverables, such as organizational chart, semi-annual contract evaluations, program management reviews, monthly management reviews, and other special projects
- Responsible for complex projects, processes, and systems related to KBR and/or the BER Department including setting up workshops and meetings, domestic and international NASA badging requests, and taking and transcribing minutes at scientific meetings.
- Maintain a KBR P-card and associated records for purchases in compliance with KBR and HHPC policies
- Lead and coordinate processes related to personnel staffing actions such as review hiring paperwork and obtain approval signatures
- Manage and maintain the Department Manager's daily calendars
- Create regular reports and update internal databases
- Maintain the BER distribution lists and office files
- Uphold strict confidentiality
- Other duties as assigned
Educations /Experience
Required:
- High school graduate plus 10 years of experience with office administrative processes.
- NASA or Federal contracting experience
- Experience building charts and presentations
- Experience taking and transcribing minutes
Skills/Training
Required:
- Demonstrated PC skills in Microsoft Office products
- Perform administrative work of moderate complexity involving independent judgement
- Thorough knowledge of general office practices and procedures; some knowledge with SharePoint, Adobe, internet browsers and related programs
- Strong organizational skills
- Effective Problem-solving skills
- Use of discretion and confidentiality required
- Ability to organize and execute meetings, workshops, and other events
- Ability to create, compose and edit written materials
- Ability to maintain and coordinate management level calendars
- Ability to communicate effectively, both orally and in writing
- Ability to gather data, compile information and prepare reports
- Ability to be perceptive, professional, and positive in interactions at all levels
- Ability to comprehend complex tasks and execute effectively

Training in computer skills and software using Microsoft Office, Adobe, internet browsers, SharePoint, and related programs
