POSITION DESCRIPTION POSITION TITLE: NURSE ADM CLERK REPORTS TO: DIRECTOR OF NURSING
Statement of purpose for POSITION SUMMARY
Schedules nursing staff in accordance with nursing census, budget ppd, dollars ppd and overall established staffing patterns supporting Unit Managers and Director of Nursing. This is to be done without exception to a Master schedule and attendance tracking. Disciplines are to be given by Director of Nursing Services or designee.
Under the Supervision of the Director of Nursing Services or Designee, assist in planning, organizing implementing and evaluating the activities occurring in the nursing station by performing clerical and receptionist duties maintaining the physical environment of the area.
Maintains clinical records to ensure that information is current, review clinical records in accordance with acceptable practices, maintain storage of other documents and order inventory/order supplies. Establishes and maintains accurate inventory of all items located in Central Supply system with implementation of a charge ticket managed system. Submits inventory utilizing the DNS input/request and submits purchase orders within budgetary constraints for approval. Upon following P.O. system and approvals, places orders. Inventory and stocks orders upon receipt. Maintains organized inventory in the primary storage room and on the individual units.
Essential functions:
Scheduling – Understands budget nursing hours ppd, dollars ppd, and tracking of ppd specific to each unit
– Conducts job responsibilities in accordance with the standards set forth in Transcendent Healthcare’s Code of Business Conduct, Transcendent Healthcare’s policies and procedures, applicable to federal and state laws and applicable professional standards.
– Must be able to work cooperatively as a member of a team.
– Keeps confidential all patient information received.
– Develops work schedule for nursing staff and posts Master Schedule two weeks prior to start of schedule.
– Honors vacation and days off requests only with approval from DNS.
– Notifies DNS of shifts that cannot be filled when new schedule is posted and when an employee is not able to work a scheduled shift.
– Informs DNS of staff who have deviated from scheduling policy.
– Maintains current list of employee phone numbers.
– Informs DNS of possible open positions.
– Tracks employee attendance and notifies DNS when attendance policy has been violated.
Clerical Records Clerk
– Maintains an inventory of clinical records as designated.
– Prepares clinical records for new admissions and maintain clinical records, glean and file.
– Fills in patient’s name, room number, physician’s name, date and hospital number on sheets pertaining to patient’s chart as needed.
– Reviews patient’s chart monthly for record of attending physician’s visit and progress notes and prepares a list for DNS.
– Maintains a current record of names, telephone numbers, and addresses on all medical and other personnel for ready reference on unit.
– Prepares forms and reports as instructed.
– Completes chart audits as assigned.
Central Supply Clerk
– Understands key items and line item specific budget ppd
– Understand PO system
– Ordering accounts set up with needed vendors, Mckesson, GFS, Direct Supply, Acorn, etc – Monthly orders
– Understands ancillary charge system
– Understands orbitz login in information
– Ability to add new residents and new employees to orbitz system
– Collects supply requisitions from wing/unit or floor.
– Fills all supply requests and delivers to the wing/unit or floor.
– Orders needed supplies from designated vendors after approval of DNS.
– Receives supplies and routes packing slips.
– Maintains an organized, neat storage area.
– Maintains inventory records reflecting accountability for all supplies
– Performs other duties as assigned.

- Functions within the constraints of established policy, practice and procedure of Transcendent Healthcare.
- Conducts self in a professional manner at all times.
Typical Knowledge and Skills
- Requires Qualified Medical Assistant certification. Certified Nursing Assistants may be considered - High School graduate/GED.
- At least one year experience in nursing long-term care.
- Ability to work with detail and numbers.
- Demonstrates mathematical skills of addition, subtraction, multiplication, division and word problems.
- Familiarity with computer is preferred.
- Operates calculator.
- High degree of interpersonal skills necessary to communicate with employees.
- Knowledge of applicable labor laws.
- Ability to communicate in English effectively through verbal and written means.
- Ability to work under stress and in emergency situations.
- Understands principles of growth and development for the entire lifespan with the ability to provide care appropriate for adult and geriatric patients as appropriate to the patient population.
