McGovern Medical School’s (MMS) Office of Admissions and Student Affairs is seeking a Coordinator II to join their team. This position reports to the Director of Admissions and Student Affairs. This position is vital in supporting ongoing outreach activities, recruitment activities, admissions software management, website management, use of social media, research activities, and supporting all efforts of the admissions office, to ensure the successful completion of the stated goals.
Job Duty 1: Outreach and Recruitment
- Provide basic advice regarding medical school admissions and specific information about MMS to applicants at all levels, using email, telephone, or via personal conversation with students who visit the office.
- Monitor and manage the admissions’ web portal email.
- Provide rudimentary but comprehensive advice to premedical students at health career events, on college and high school campuses.
- Manage inventory of promotional items.
- Attend health career events, collect, and track outreach data.
- Maintain Outreach Database and Recruitment Contacts Databases.
Job Duty 2: Website and Social Media management
- Assist in the update and maintenance of the web presence of the Office of Admissions and Student Affairs.
- Assist the use of social media of the student ambassador program.
- Collect and distribute marketing information for use in social media.
Job Duty 3: Database Management
- Maintain databases using the resources of AMP and TMDSAS to manage and store information in an organized manner. (Master database for entering class statistics, Outreach Database, Faculty Database and Recruitment Contacts Database.
- Generate rudimentary reports in a systematic, regular, and organized manner, and maintain the location of this information with attention to detail.
Job Duty 4: Scholarship Management
- Oversee scholarship selection and award notification. Work closely with Scholarship Committee to award available funds.
Job Duty 5: General Admissions
- Support the Admissions efforts during Interview Season: preparation of materials, updating materials, re-ordering materials, making personal contact with applicants on Interview Day.
- Support the Admissions efforts throughout Interview Season for Admissions Committee Meetings by assisting in the preparation of documents, contacting faculty, assisting with the completion of minutes and other distribution of information.
- Maintenance of newly admitted medical students’ checklist items.

This employee will work full-time in the McGovern Medical School located in the heart of the Texas Medical Center. You will work on-site at this location. It is on the Metro Rail Line and also bus routes.
Preferred credentials include:
- Bachelor's Degree preferred
- Experience in admissions, education, marketing and planning preferred
- Skilled in the use of various social media
- Knowledge of and experience in medical admissions including application components, admissions cycle components, outreach and recruitment activities, issues related to underrepresented in medicine
- Knowledge of website software, facility with admissions management software, basic knowledge of Microsoft Office programs Word, Excel and Access
Certification/Skills:
Advanced working knowledge of standard Office Software such as Word, Excel, PowerPoint and Outlook is required.
Minimum Education:
Bachelor’s degree in related field or relevant experience in lieu of education. The degree is preferred.
Minimum Experience:
Three (3) years of directly related experience in an educational setting. Experience in Admissions and/or Student Affairs preferred.
Physical Requirements:
Exerts up to 20 pounds of force occasionally and/or up to 10 pounds frequently and/or a negligible amount constantly to move objects.

This job class may contain positions that are security sensitive and thereby subject to the provisions of Texas Education Code § 51.215
Residency Requirement:
Employees must permanently reside and work in the State of Texas.
