Duties

Provides information regarding equipment, services and policies; handles inquiries on lost, stolen and damaged equipment, equipment reassignments, moves, and individual office concerns; initiates and processes invoices for lost, stolen or damaged equipment. Schedules and conducts physical inventories of equipment in Senate offices; updates inventory management and online ordering systems; generates reports; audits inventory management system for accuracy; investigates inventory inconsistencies. Enters and maintains records in an inventory management system. Serves as a liaison between the Senate and the General Service Administration (GSA) on local and state equipment; maintains, audits, and provides accurate documentation of equipment assignments to Senate offices. Provides inventory management guidance and teaches inventory best practices and policy to Senate offices; represents the department in meetings involving equipment movement and transfer. Coordinates inventory related assistance with internal logistic departments. Updates and maintains online catalog of general office equipment for purchase by the Senate offices; ensures prices, features, and technical specifications are listed accurately.

Qualifications

Work requires a high school diploma (or GED), and one to three years of experience with customer service, operation of IT, telecom and/or office equipment, and a basic understanding of inventory methods; or any equivalent combination of education and experience that provides the following knowledge, abilities and skills:

  • Knowledge of, or ability to learn, departmental rules, regulations, procedures and functions, including familiarity with policies and regulations set by the Senate Rules and Administration Committee and the Senate Select Committee on Ethics.
  • Knowledge of modern public procurement inventory control and asset management practices.
  • Knowledge of office equipment, computers, and mobile equipment.
  • Knowledge of inventory management systems, excel, or other database systems.
  • Ability to respond to customer inquiries and complaints in a tactful, timely and courteous manner.
  • Ability to enter and to keep accurate computerized records.
  • Ability to communicate effectively.

PHYSICAL DEMANDS AND WORKING ENVIRONMENT

Work requires good hand- eye coordination, the ability to use hand tools regularly, the ability to sit or stand for extended periods and physical effort such as walking, bending, kneeling, crawling, and/or safely lifting, pushing or carrying objects up to 50 pounds.
