Assistant Finance Director
Purpose - This position exists to assist the Finance Director to ensure the systematic record of all business transactions, reports and cash forecast and budget development maintenance that reflect the business.
Primary Duty- Assisting the Finance Director with the fiscal management
Essential Functions and Responsibilities:
Assist the Finance director with cash receipts and requests for funds for all programs as needed for adequate cash flow.
Assist with activity reports.
Writing up JE’s, approving invoices and PO’s, etc. as directed by Interim Finance Director
Assist with budgets, reporting, and cash draws.
Assist in interpretation of financial requirements with program directors relating to financial records.
Assist with budget preparation as related to financial records.
Assist with maintaining general ledger and trial balances for all programs.
Assist with accounts payable, allocations, and payroll.
Assist with the analysis of actual expenditures as compared to budget balances.
Assist with internal control analysis expenditure report and meet with program directors to forecast any problems in future expenditure rates.
Assist with monthly and annual reports that are filed with each funding source.
Assist with the preparation and comparisons of expenditure levels to the budget.
Assists with analyzing trial balances for monthly report preparation.
Assists with maintaining the accounting reports for use in preparation of summary analysis for the year-end audit.
Assist with audit reviews and on-site monitoring visits to the WIOA sub-contractors.
Assist with property management as such as:
· bid requirements
· inventory lists
· warranties and/or insurance on property
· tracking numbered inventory stickers
· maintaining warranty information
· annual on-site inventory of all property
· filing work order receipts regarding repairs.
Consistent and regular attendance is required.
Other Duties and Responsibilities:
Other related duties as delegated by the Finance Director.
Supervisory Responsibilities: None
Knowledge and Skills:
General knowledge of established governmental departmental budgeting and accounting practices and procedures.
General knowledge of the application of established bookkeeping and accounting principles and techniques of standard accounting transactions.
Fiscal Responsibility:
Assists with preparation of budgets, tracking inventory and the preparation of records for audit.
Physical Demands:
Ability to speak, see and hear; use hands and arms; independent mobility within confines of office and outside for attendance at meetings, etc.
Working Conditions:
Office setting, moderate noise level, limited travel with infrequent overnight stays.
Qualifications:
GAAP knowledge; CPA OR min. 4-year degree in accounting, business, fiscal management, or a related field; computer capabilities; and knowledge of fund accounting and/or experience in governmental programs required.
