Duties and Responsibilities

  • Assist with Managing and Supervising the daily building/facility operations for multiple entities of MassDOT including 10 Park Plaza, all RMV Service Centers, 2 Warehouses, and Service Plazas along I-90.
  • Manage and triage the work order system, assign to the corresponding staff, serving as a point of escalation.
  • Manage and oversee various related cleaning contracts, revising cleaning protocol as necessary.
  • Manage the Fire Alarm, Pest Control, Trash, and other contracts associated with the department.
  • Monitor and update the associated budgets, attend fiscal meetings as necessary.
  • Assist with the procurement of various goods and services for all related responsible facilities.
  • Scheduling of various vendor services for operational needs and providing contractor oversight.
  • Develop detailed plans and scope of work plan for various types of projects, provide required coordination with respective service departments and manage projects until completion.
  • Assist managing and overseeing the MassDOT Key system for various buildings entities that use it.
  • Work with the Fiscal Dept on the approval and processing of invoices and purchase order requisitions
  • Work with the Property Management company at 10 Park Plaza pertaining to building maintenance or office space issues.
  • Perform and completion of annual EPRS and Form 30 for all operations staffing.
  • Assist with the coordination of signage, landlord requests, and be a liaison to the security department.
  • Distribute building notifications applicable to operations.
  • Assist with the development of job positions and conducting interviews for departmental positions as needed.
  • Travel statewide to facility locations to inspect building and cleaning conditions.
  • Assist in ordering parts and items for RMV Service Centers as required.
  • Serves as back-up in the absence of the Manager of Operations.
  • Respond to Emergency situations in the field, day, night, or weekend.
  • Work with Human Resources, Employee Relations, and Labor Relations on employee related matters.
  • All other duties.

Qualifications


Minimum Entrance Requirements

Applicants must have at least (A) four (4) years of full-time or, equivalent part-time, professional, professional internship, administrative, supervisory, or managerial experience in business administration, business management, public administration, public management, clinical administration or clinical management or (B) any equivalent combination of the required experience and substitutions below.

Substitutions:

I. A certificate in a relevant or related field may be substituted for one (1) year of the required experience.

II. An Associate’s degree in a related field may be substituted for one (1) year of the required experience.

III. A Bachelor’s degree in a related field may be substituted for two (2) years of the required experience.

IV. A Graduate degree in a related field may be substituted for three (3) years of the required experience.

V. A Doctorate degree in a related field may be substituted for the required experience.
