SUMMARY
This position is primarily responsible for assisting with the operational functions of a multi-family housing development. Responsibilities may include leasing, resident relations, marketing, maintenance, home inspections, rent and fee collections, and resident referrals. Reports to the Property Manager.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Core duties and responsibilities include the following. Other duties may be assigned.
- Assist with core business processes, such as leasing, occupancy, resident relations, marketing, maintenance, budgeting, rent collection, social services, maintenance and administration.
- Perform various property management functions, such as showing vacant apartments to prospective residents, assisting with move-in and move-out processes, granting rent extensions, and conducting home visits.
- Collect rent and fees from tenants; Issue receipts and prepare computer documents; Balance daily cash statements; Prepare bank deposits, daily transmittal form, and support documents; Follow up on late rent payments.
- Answer phone calls professionally and take appropriate action, whether the caller is a prospective resident, current resident, Authority team member, or vendor.
- Assist residents with routine problems and provide limited counseling.
- Process resident service requests in a complete and accurate manner; Route to maintenance for prompt processing; Conduct resident follow-up.
- Ensure the leasing office is clean and presents a warm-welcoming image of the property.
- Physically inspect the property when on grounds; Pick up litter; Report service needs to custodial or maintenance team.
- Perform annual unit inspections; Assist with annual re-examinations.
- Process interim changes, recertifications, and unit transfers.
- Prepare lease paperwork; Review and explain the lease agreement with new residents.
- Counsel residents on rent extension options; Prepare and send eviction letters as necessary.
- Perform administrative duties such as typing and mailing correspondence, maintaining tenant files, verifying information, and compiling data for periodic statistical reports.
- Create and distribute resident communications, e.g., notices, renewal letters, newsletters, flyers.
- Attend meetings as required, e.g. staff meetings, security meetings, employee meetings.
- Assume office leadership role in the event of the temporary absence of the Property Manager.
- Remain on call 7 days a week, 24 hours a day.
- May assist with or coordinate lease-ups and move-ins.
SUPERVISORY RESPONSIBILITIES: This job has no supervisory responsibilities.
EDUCATION AND/OR EXPERIENCE: High school diploma or general education degree (GED) with one to two years of experience in general office and public contact work, preferably in the housing or social service field; or equivalent combination of education and experience.
REQUIRED LICENSES, CERTIFICATIONS, STIPULATIONS: Must possess and maintain a valid Georgia driver’s license, proof of personal auto insurance, and a driving record acceptable to the Authority’s insurance carrier. Must be available to work overtime as business dictates.
