Assistant Property Manager

Aventura, FL

Responsibilities include, but are not limited to:

  • Under the direction of the Community Director, assume responsibility for all phases of operation of the property, including but not limited to the general administration and maintenance of the physical asset.
  • Assist in preparation of leases and other management forms. Properly review and process all applications for residency, verification, move-in, and re-certification.
  • Post collections to the computerized property management system(s) and monitor it with up to date data entry.
  • Assist in hiring, managing and training the best quality staff.
  • Process invoices, collect vendor documentation, maintain resident ledgers and participate in other bookkeeping functions.
  • Oversee the 24-hour concierge team and effectively respond to urgent needs.
  • Attend and participate in the setup, execution, and clean-up of activities, help plan activities when requested.
  • Conduct move-in and move-out coordination, complete any appropriate documentation (such as inspection reports).
  • Communicate as needed with third parties: residents’ families and contacts, vendors, etc.
  • Keeping track of operational records including resident files, vendor files, invoices, contact lists, and other paperwork.
  • Perform duties during various times, including non-business hours (incl. weekends) and during emergencies (hurricanes, fires, floods, other emergencies).
  • Other duties as assigned.

Assist the Community Director with assigned tasks, including, but not limited to:

  • Accounting/bookkeeping functions, such as resident trust balances and transactions
  • Monitoring and documenting recurring service providers, such as pest control, call-for-aide system, alarm system, and other providers
  • Processing invoices for payment
  • Performing on-site building tasks, such as deliveries, inspections, follow-up of departmental tasks (i.e. maintenance service requests or PTAC cleaning)
  • Maintaining the weekly MR report and ensuring all data therein is accurate
