Position Highlights

The James E. Rogers College of Law at the University of Arizona is seeking to hire an Assistant Registrar. The incumbent will assist the Registrar in managing all aspects of the Office of the Registrar at the James E. Rogers College of Law. This includes assisting with student registration and record keeping, ensuring the integrity and confidentiality of student and institutional records, compliance with all relevant state and federal laws and regulations, and reporting to relevant institutional stakeholders and state bars.

The Assistant Registrar will work closely with the Registrar, deans, staff, and faculty to enforce academic policy. The College offers a range of degree programs, including the JD, LLM, SJD, MLS, MPS, and BA with a mix of residential, distant, and online students.

Duties & Responsibilities

Under the leadership of the Registrar:

  • Supervises up to three direct reports and up to three student workers.
  • Performs all Registrar services for students and faculty, including but not limited to schedule creation and maintenance, student registration, transcript processing, grade processing, transfer credit evaluation, graduation audits and conferral, processing of student requests for information, preparing correspondence from the Registrar to various parties needing information about the College of Law and its students, and potentially supervising student employees and/or non-exempt staff.
  • Manages compilation, recording, verification, and dissemination of all data related to student enrollment, curriculum, academic progress, and grades to relevant constituencies within the UA, state, and federal accreditation agencies.
  • Assists with all aspects of course registration, including ensuring the accuracy of the course schedule in UACCESS and on the College of Law website, monitoring waitlists, troubleshooting registration issues for students and faculty, collaborating with other departments for cross-listed courses, collaborating with other academic institutions, processing cancelled or changed courses, and assigning classrooms and responding to change room change requests from instructors.
  • Assists Academic Affairs team with preparation and administration of midterm and final examinations, including recruiting and training proctors, helping the Dean of Students with administering final exams to students receiving accommodations, providing grade worksheets to faculty, and working with the Registrar to ensure the accuracy of all grades before posting them.
  • Managing the course evaluation/TCE process, including scheduling evaluations for each course, recruiting and scheduling proctors to administer the evaluations, processing all course evaluation/TCE data for reporting to individual instructors, preparing a report ranking faculty based on the evaluations/TCEs, and drafting a memo for the Associate Dean of Academic Affairs highlighting important data from the evaluations/TCEs.
  • Assists in planning and scheduling Registrar events during the academic year.
  • Other responsibilities as assigned.

Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through professional level experience.
  • 3 years of related work experience or equivalent combination of education and work experience.

Preferred Qualifications
  • MLS or JD degree and experience in a Registrar’s office
