Position Overview

Servicing Operations is seeking an Associate to assist in the management the client and asset onboarding process. The Associate will join an accomplished, dynamic group of real estate and customer service professionals in corresponding directly with clients to board assets and ensuring internal process flow.

Responsibilities

  • Manage the overall setup process for new clients and new assets, ensuring each department is meeting its internal deadlines per policies and procedures
  • Maintain positive relationships with internal and external clients, providing a high level of customer service
  • Consult internal and external clients on boarding process and Trimont operational functions
  • Create and maintain client, investor, and asset onboarding checklists
  • Set up client, investor, and asset information in various external and proprietary systems
  • Understand servicing fee structure, payment methodology, and invoicing contacts
  • Initiate processes for data fees, Triview access, and other client requests
  • Maintain investor module in servicing system (client name, investor information, investor bank accounts, etc.)
  • Communicate pertinent information to internal departments
  • Manage team email inbox and initiate internal processes
  • Send welcome email to client with onboarding timeline, data requests, etc., and follow up as needed
  • Obtain required documents needing for onboarding from client
  • Determine internal personnel assignments for new assets
  • Upon asset closing, request core loan documents from closing attorney, Asset Manager, or client and provide to internal team for uploading into document repository
  • Review finalized asset documents for core data needed to board the asset in Strategy
  • Follow up with client and/or closing attorney on closing binder
  • Serve as liaison between Asset Management and Trimont Operations during the onboarding process and manage any questions that arise
  • Assist with directing the application of reserve funds received at closing
  • Assist with training for Asset Management on Trimont operational processes

Position Requirements and Experience

  • Bachelor’s Degree required
  • 1-3 years of relevant experience
  • Understanding of commercial real estate transactions and industry terms
  • Strong customer service skills
  • Solid analytical skills, including the ability to accurately interpret internal and external client needs
  • Ability to multi-task and meet deadlines
  • Curiosity of how things work operationally and a desire to improve efficiencies
  • Excellent people skills with the ability to cultivate strong relationships with external client and internal support staff
  • Strong written and oral communication skills with ability to explain complex concepts
  • Advanced proficiency in Excel
  • Proficiency in Word and Outlook

Preferred Qualifications

  • An academic background in finance, accounting, or real estate
  • Experience with complex and challenging loans
  • A strong mathematical aptitude
