Bookkeeper

Position Summary:
The Bookkeeper is part of the office staff at St. Elizabeth Ann Seton. General responsibilities include deposits, bill payment, payroll, electronic fund transfer and record keeping. This position also includes preparing information for financial statements and involvement in budget preparation.
The bookkeeper is responsible to the Director of Operations. The bookkeeper also works with our parish staff, and other parish commissions and groups. This position is a part-time position averaging 28 hours per week.
General Description:
The Bookkeeper is growing in a relationship with Jesus Christ. He/she is someone who demonstrates continued growth in The Four Characteristics of a Disciple: Pray, Learn, Share and Witness. He/she shares faith, serves the community and expresses the love of God and neighbor through ministry. The Bookkeeper is an integral member of the parish staff and shares in the responsibilities of the parish community to bring people into a growing relationship with Jesus Christ.
Duties and Responsibilities:
1. General Administrative a. Be a catalyst for good cooperation and business relationships among all parish entities, staff, commissions and parishioners b. Maintain spiritual influence and presence in overall administrative activities of the parish c. Attend office staff meetings d. Attend annual Archdiocesan training sessions if offered e. Provide backup assistance to the office f. Perform other related duties as required
2. Financial a. Act as contact person for any banking issues b. Deposits – Make weekly bank deposits, process donations through electronic fund transfer, record all deposits and giving in accounting and parish software c. Records of Giving - Maintain accurate records of individual giving to established funds, resolving parishioner questions, issuing and mailing of regular statements of giving d. Oversee and monitor weekly money counters
e. Bill Payment – Review bills and recurring obligations, enter into accounting software and print checks, present to the pastor for approval and mail before due f. Maintain Accounts/Payable files g. Balance all bank statements monthly h. Payroll – Calculate payroll and withholding, perform electronic fund transfer for payroll, maintain monthly payroll files, update employee W-4’s yearly, process annual
1099’s, work with Honkamp Krueger. i. Work with the Director of Operations to generate information necessary for financial reporting (e.g. committee reports, balance sheet, income statement, cash flow statement, parish reports, etc.) j. Prepare annual financial reports for the Archdiocese k. Calculate compensation for visiting priest’s services, balancing records of Mass stipends, regularly prepare checks for all priests celebrating Masses here l. Acknowledge all Bequests/Memorials m. Submit funeral lunch bills to appropriate family member n. Monitor Wine and Wisdom expenses and provide accountability of same to St. Pius X o. Submit payment to the Parish Representative for large functions held in Seton Hall p. Keep binder of restricted gifts updated and balanced to the Balance Sheet monthly
3. Human Resources a. Maintain HK system and Who’s Where employee database for the Archdiocese
4. Administrative (position may include the following) a. General office assistance b. Oversee parish finances
Qualifications:
This position requires a high school diploma or GED, as well as two years related accounting experience. Some college with an emphasis in accounting is preferred.
