The University of Montana Institute of Ecosystems (UM IoE) invites applications for a Budget Analyst III to provide professional level accounting, budgeting and administrative services for the UM IoE. Responsibilities include pre-award and post-award management of IoE grants and contracts submitted to multiple federal and private agencies. Grant management involves developing and managing budgets for IoE faculty affiliates, including planning, proposal development, grant set-up and submission, assessment, and reporting for all fiscal accounts.


The Budget Analyst III position will work under the Director of Strategic Fiscal Planning for the Center for Biomolecular Structure and Dynamics (CBSD) and will report to the Director of the University of Montana Institute on Ecosystems (UM IoE). The Budget Analyst III serves as the liaison between the UM IoE and the Office of Sponsored Programs for all levels of grants management. The Budget Analyst III position will maintain productive working relationships and positively representing the UM IoE through effective interaction with campus administrators, faculty members associated with the IoE, and UM staff. This is achieved by coordinating with the Office of Sponsored Programs, Business Services, the Graduate School, the UM Foundation, and other entities including Administrative Units with which the UM IoE may have financial relationships.


An outline of the fiscal and administrative function of this position are below:

  • Primary point person for pre-award budget creation for faculty affiliated with the UM IoE, which requires familiarity with the Cayuse grant preparation platform, federal agency budget guidelines and funding opportunity announcements, budget justification policies, and indirect cost requirements.
  • Primary point person for post-award implementation and oversight which requires knowledge of budget spending rules, re-budgeting policies, and overall guidelines.
  • Create and maintain accurate and timely spreadsheets, graphs, and databases utilizing spreadsheet or database software such as Microsoft Excel and Access for purposes of tracking and managing grant accounts.
  • Accurately conduct analyses, interpreting accounting/budgeting information, spreadsheets, and reports, in order to provide timely grants documentation for the UM IoE Director.
  • Ensure compliance with federal, state, and university policies/procedures relating to all grant-related fiscal activities.
  • In collaboration with the CBSD grants management team, monitor, analyze, and assess purchasing and personnel transactions for fiscal impact, and independently initiate appropriate action in response to needs, such as budget modifications, revenue reallocations, reports, cost transfers, payment transactions, and personnel forms.
  • Provide accurate and timely fiscal reports and monthly forecasts.

Required Skills

  • Strong accounting skills including budget tracking, account reconciliation, ability to interpret and understand account legers and balances.
  • Ability to manage multiple accounts and accounts with multiple sub-legers, index codes and activity codes.
  • Demonstrated skills in Microsoft Excel or similar spreadsheet programs. Ability to create and manipulate mathematical formulas, numerical and text data within spreadsheets, and to create and manage multi-page budget spreadsheet.
  • Working knowledge of Microsoft Word and basic working knowledge of Microsoft Teams and/or Zoom software programs.
  • Ability to apply best practices and conform to grant management guidelines of the Office of Sponsored Programs at the University of Montana or experiences with similar systems.
  • Ability to work cooperatively with others.
  • Strong written and verbal communication skills.
  • Strong planning and time management skills with the ability to meet deadlines.
  • Adaptability, capacity to meet challenges and learn new skills.
  • A positive and constructive attitude, ability to interact patiently and respectfully with co-workers, learn from constructive criticism, and provide guidance to others as needed.

Minimum Required Experience

  • Associates degree and two (2) years experience.

Preferred Qualifications

A preferred candidate has a degree in Accounting or a related field, and the following knowledge, skills, and abilities:

  • Experience in pre-award and/or post-award financial grant management.
  • Experience in job-costing or tracking project specific costs.
  • Experience in developing and maintaining excel workbooks to track actual costs and expense projections to budget.
  • Experience in governmental or non-profit accounting.
  • Software experience in Excel, Banner, Grizmart, and/or QuickBooks Pro.

Position Details

Position Title: Budget Analyst III

Position Number: NEW

Department: Division of Biological Sciences

Work Schedule: Full-time, 1.0 FTE (40 Hours a week), Monday through

Friday 8:00 am to 5:00 pm, 12 months/year

Salary: $26.435/hr Current employee’s rate of pay for this position will be determined by the staff compensation plan and will minimally be this posted salary. For questions and details regarding the staff compensation plan, email the Compensation Department.

Probationary Period: Six months minimum
