Summary

VCU's Facilities Management is seeking to hire for a Business Operations Support position in FMD Construction Management. This position provides high quality administrative support services to Planning & Design (P&D) and Construction Management. This position exhibits a compelling "can do" attitude and willingness to adjust with the changing environment. This position acts as primary manager of general office needs to include, but not limited to: reception, scheduling, processing of contractor security badges, equipment and supply management, credit card and travel management, and internal audit reporting. The incumbent will be trained on the Business Operations Support duties and responsibilities to offer support as required, as well as, in the learning of new skills.

The Business Operations Support position requires the incumbent to work both independently and as a part of a team to accomplish assigned tasks and to prepare correspondence, spreadsheets, briefings, reports, and to support day-to-day operations through the use of Microsoft Word, Excel, PowerPoint, and Windows Publisher software. The incumbent will be required to accomplish multiple complex tasks with minimum supervision; accurately understand and convey information to the appropriate individuals; accurately prepare, code, process, and keep track of all procurement requests; keep accurate and detailed logs and files of all procurement requests; will need to complete work assignments on time and error free; and will need to perform job duties in a courteous and professional manner.

Additional duties include, but are not limited to:
  • Coordinate with internal team members for resource needs
  • Manage the schedule for the Director of Planning and Design
  • Assist with conference room and resource scheduling
  • Ensure the Planning & Design and Construction Management offices always project a professional appearance
  • Type, edit, and proofread correspondence and reports, as well as prepare independently as required
  • Assist in maintaining and updating FMD's website for Planning & Design and Construction Management
  • Track P-card purchased expenses and ensure reconciliation is completed monthly and approved by supervisor prior to deadline
  • Assist Supervisor/Project Managers in the preparation of Board of Visitor (BOV) materials
  • Assist Management Analyst in the collection of SWaM data, analyze it for correctness and report information to Procurement quarterly for State reporting
  • Manage Project Inspection Daily Report process in compliance with Construction Management guidelines
  • Manage and prepare authorization correspondence for extremely high volume of construction contractors and in-house personnel to receive VCU Card ID Badges
  • Maintain records of all badges authorized and work to ensure they are returned upon project completion

Minimum Hiring Standards
  • Proficient in the use of Microsoft Word, Excel, PowerPoint, and Windows Publisher software
  • Ability to accomplish multiple complex tasks with minimum supervision
  • Ability to accurately understand and convey information to the appropriate staff
  • Ability to perform job duties in a courteous and professional manner; display superior customer service skills
  • High school diploma or equivalent; some college or relevant equivalent experience
  • Excellent verbal and written communication skills
  • Ability to manage scheduling and conflicts
  • Ability to manage multiple tasks
  • Highly organized, detail oriented, possess a strong work ethic, and highly customer service oriented
  • Take initiative when approaching duties and responsibilities
  • State of Virginia Driver's License
  • Demonstrated experience working in and fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at VCU

Preferred Hiring Standards
  • Experience in a professional office environment
  • Excellent typing, grammar and spelling skills
  • Experience with eVA, Banner, Realsource (University's Financial Systems)
  • Experience with AiM/Asset Works, eBuilder (Project Management Systems)
  • Knowledge of VCU and State Procurement Guidelines
  • Knowledge and experience in Windows-based word processing software
  • Knowledge and experience working with Excel spreadsheets

Required Licensure/Certification
  • State of Virginia Driver's license
