THE OPPORTUNITY:
We're searching for a powerhouse operator - who will serve as the heart of Michigan Central's office activities. In this role, you will provide direct executive assistant support to three members of our executive leadership team, while managing office operations and procedures for the business. The ideal candidate will have the ability to adapt in fast changing environments, a strong growth mindset, and exceptional operational excellence.
RESPONSIBILITIES:
This is an exciting, busy, and varied role that will suit someone with previous experience supporting high-level executives. You are detail-oriented and thrive on being extremely organized. You are comfortable with heavy calendar management and high-volume meeting arrangements. Over-communication and proactive thinking is an asset in this role. You have a good read on people and situations and you can build strong relationships quickly, both with your managers and their counterparts.
Specific responsibilities will include the following:
- Daily calendaring including prioritizing meetings, tasks and projects for senior executives
- Coordinating complex meetings with multiple groups across locations and teams
- Supporting senior executives with meeting preparation including finalizing presentations, researching and summarizing background details on meeting attendees, printing materials, or setting up audio/video conferences
- Attending staff meetings to capture notes, provide insights and hold reports and meeting participants accountable for results around action items
- Supporting the Business Operations team with NDA requests, purchase orders and other business needs
- Budgeting, planning and coordinating team building and department events/meetings
- Assisting with onboarding and training of new hires and reviewing and/or developing policies and procedures to support the team
- Managing and maintaining accurate electronic and hard copy filing systems as needed
- Working collaboratively with other team members in Business Operations, leveraging appropriate company resources to manage, own and minimize administrative tasks for senior executives
WHAT WE ARE LOOKING FOR:
- Bachelor's degree or equivalent practical experience
- 3+ years experience supporting high-level executives in a corporate environment, and managing large scale projects and events from pre-planning to execution
- You are able to support multiple C-level executives, while navigating competing priorities
- You are able to proactively anticipate business and client service needs, demonstrating resourcefulness and critical thinking
- You are able to interface at all levels of an organization internally and externally, keeping stakeholders informed
- You are able to thrive in a fast paced environment and take action with a sense of urgency
- You demonstrate discretion with access to sensitive company, customer, and personal information
- You have strong collaborative, interpersonal skills including conflict resolution, negotiation and creative problem solving
- You have excellent communication skills (written and verbal)
- You are proficient knowledge of Microsoft Office and G Suite
- You have strong project management skills with attention to detail
