Catalog and Curriculum Analyst
Job Overview
- The Catalog and Curriculum Analyst coordinates the production and publication of the catalog and curriculum requirements for undergraduate and graduate programs at Wheaton College. This position works with faculty and staff on the review of new and revised programs and adjusts the catalog, student information system, and degree evaluations accordingly. This position also updates individual student degree evaluations and awards credentials. The Catalog and Curriculum Analyst participates in undergraduate and graduate curriculum committees as one of the representatives of the Registrar’s Office. This position works collaboratively within the Registrar’s Office as part of the Student Progress and Records Team.
- The Catalog and Curriculum Analyst will report to the Associate Registrar. This position does not supervise any staff.
- This position does not have budgetary management or oversight.
- This position is full-time, 12 month, and exempt. May occasionally require some evening and weekend hours.
Duties and Responsibilities
- Serve as the lead Degree Works scriber. Use logical Scribe coding so that curriculum requirements appear online for students and advisors and are met as students register and successfully complete courses.
- Coordinate the production of the Wheaton College catalog. Set up and maintain forms and workflow with CourseLeaf CAT and CIM. Work collaboratively with staff and faculty on the related catalog approval systems.
- Collaborate with the Administrative Assistant to the Assistant Provost to organize the course and program review process for the undergraduate curriculum committees.
- Participate in the undergraduate and graduate school curriculum committee meetings as a representative of the Registrar’s Office.
- Regularly evaluate the content and layout of the catalog, making recommendations for updates and adjustments.
- Proof the final catalog draft and publish the final catalog. Provide copies to internal and external constituents as needed.
- Update the Banner student information system and Degree Works degree evaluation software with updates to programs and courses. Along with the Data and Systems Analyst, ensure data integration between the two systems.
- Maintain a list of active programs by catalog year for reference by internal and external audiences.
- Along with Academic and Institutional Technology Department (AIT), seek solutions with CourseLeaf, Ellucian, and Strata Information Group representatives as needed.
- Update individual undergraduate student degree evaluations with exceptions (substitutions and waivers). Process undergraduate students’ change of catalog year and adjust degree evaluation as necessary. Monitor degree evaluation exceptions with data integrity reports.
- For August and December graduates, award degrees or other credentials to undergraduate and graduate students. Verify the completion of licensure requirements and update transcripts as needed.
- Provide assistance to the Associate Registrar and Graduate Record Analyst and Academic Advisor as needed.
- Other duties as assigned.

Qualifications
- Bachelor’s degree required.
- 2 years of experience within an administrative office setting, preferably higher education. Previous Registrar’s Office experience desired.
- Working knowledge of Microsoft Office suite is necessary. Working knowledge of relational databases is desired. Direct experience with Ellucian Banner, Ellucian Degree Works, Leepfrog Courseleaf products, preferred.
- Ability to use logic
- Effective oral and written communication skills.
- Ability to interact professionally and effectively with faculty, students, administrators, and staff.
- Excellent attention to detail.
- Ability to organize and monitor data.
- Ability to think critically and solve complex problems.
- Proven self-starter and able to work independently and as part of a team.
- Must be able to handle sensitive, confidential information in a mature, professional manner and be familiar with FERPA.
Physical Requirements
The employee is regularly required to sit, talk, hear, and type; frequently required to use repetitive hand motion.
