Job Title: Collections Specialist
Reports To: Billing Manager
Department: Billing Department
Compensation: Hourly, Non-exempt

Purpose of Your Job Position

The duties of a Collections Specialist include collection calls and/or correspondence in a fast paced, goal oriented department. Duties include providing customer service regarding collection issues, review account adjustments, resolving client discrepancies and short payments. Responsible for monitoring and maintaining assigned accounts, customer calls, account adjustments, and small balance write off.

Key Responsibilities

  • Accountable for reducing delinquency for assigned accounts.
  • Perform other assigned tasks and duties necessary to support the Accounts Receivable Department.
  • Enlist the efforts of the Director of Patient Financial Services when necessary to accelerate the collection process.
  • Must communicate and follow up effectively with manager and coworkers regarding customer accounts on a timely basis.
  • Establish and maintain effective and cooperative working relationships with facilities.

Essential Functions

  • Weekly and monthly reporting to direct supervisor/manager.
  • Generate and follow up on Monthly Delinquency notices.
  • High volume phone calls to assigned delinquent customers.
  • Reconcile customer disputes as they pertain to payment of outstanding balances that are due.
  • Provide excellent and considerate customer service to dealers and sales.
  • Internal and External customer interface.
  • Participate in team planning meetings.
  • Meet defined department goals and activity metrics.

Required Skills

  • 3-to-5 years High Volume corporate Collections experience.
  • Knowledge of Billing and Collections procedures.
  • Accounts Receivable knowledge/experience a plus.
  • Strong attention to detail, goal oriented.
  • Commitment to excellent customer service.
  • Excellent written and verbal communication abilities.
  • Ability to prioritize and manage multiple responsibilities.

Knowledge:

  • Medical transportation processes is desired, medical collections experience preferred.
  • Understanding of the terminology of a PCR, Hospital Face Sheet, and or a CAD sheet.
  • Understanding of the distinctions between the different level of service (e.g. ALS, BLS, Wheelchair, SCT, and CCT).
  • HIPAA requirements.

Abilities:

  • Ability to perform tasks efficiently and accurately in a fast paced environment.
  • Ability to gain an understanding of current organizational structure, policies, procedures, and practices.
  • Flexible with shifting daily priorities.
  • Handle large volume of work and or telephone calls.
  • Exceed minimum quality performance standards consecutively for a minimum of six months, and maintain those standards for a minimum of four out of every six-month rolling time-period.
  • Ability to meet, exceed, or sustain established standards for productivity.
  • Ability to communicate effectively, both orally and in writing, in English.
  • Ability to accurately keyboard 50 wpm with 100 percent accuracy.
  • Ability to concentrate and evaluate information when handling angry, difficult, or uncooperative callers.

Minimum Requirements:

  • High School Diploma or GED required; Associates Degree preferred.

Physical Requirements:

  • Extended periods sitting at a desk, using a computer and telephone.
  • Occasional light lifting of paper files and office equipment.

Working Environment:

  • Mandatory and or voluntary overtime.
  • Internal office environment (cubicles).

Equipment Used:

  • Copy machine, scanners, fax machine.
  • Personal computer, telephone.
