Leads community outreach for endoscopy site engagement, maintenance, and data collection, providing support to endoscopy practices and providers at 30+ practices across New Hampshire who participate in the New Hampshire Colonoscopy Registry (NHCR). Participates in recruitment of endoscopists or sites with the PI when needed, and ensures smooth functioning of all data flow from and to endoscopists, including preparing and providing regular confidential feedback reports on colonoscopy quality indicators.
Responsibilities
- Serves as the primary NHCR staff point of contact for all interaction with endoscopists, endoscopy nurses, practice managers, and quality managers at participating endoscopy practices across NH.
- Maintains consistent contact with site staff to address any issues with data collection and to ensure smooth flow of data collection from all sites.
- Coordinates the day-to-day operations of NHCR site participation and data collection, engaging providers and staff through multiple avenues of communication as needed and responding to issues that arise in a timely manner, troubleshooting problems as necessary.
- Communicates with the NHCR staff if problems arise so that the NHCR team can devise effective solutions that can be implemented.
- Communicates public relations and publicity information about the NHCR to providers and staff.
- Conducts orientation to NHCR forms and processes for new endoscopists and staff, ensuring that new endoscopists complete intake forms and provide permission to receive feedback reports.
- Generates, proofreads, and confidentially sends regular Feedback Reports to all participating endoscopists and facilities, confirming accuracy and completeness of data, and responds to questions as needed.
- Provides regular telephone, email, and in-person support to new and existing practices participating in the NHCR, visiting 2-3 sites a month.
- Maintains up to date endoscopists and facility contact information in the NHCR database and on shared drives, ensuring it remains accurate and complete as staff and endoscopists leave and new ones arrive.
- Maintains project tracking data to capture site and endoscopists active participation.
- Maintains logs of communication with facilities and keeps track of outstanding issues and next steps.
- Responds to inquiries from providers or sites in a timely manner, engaging the NHCR Research Scientist (Director) or Principal Investigator (or other staff) when needed to resolve issues.
- Meets monthly with PI to review ongoing site activity and discuss any questions or issues that may arise.
- Provides enrollment reports to endoscopy facilities for quality improvement tracking and supports NHCR-related endoscopy practice / hospital quality improvement projects as needed.
- Collaborates with data entry and pathology abstracting staff to ensure complete and accurate data collection and resolve any issues with facility staff and providers in a timely manner.
- Participates in regular NHCR Team meetings and ensures follow-up and resolution of any issues related to participation in the NHCR.
- Supports the participation of the NHCR as a Qualified Clinical Data Registry within the MIPS program, attending mandatory monthly support calls, completing annual self-nomination process, and meeting other MIPS program requirements.
- Ensures confidentiality of all research information.
- Performs other duties as required or assigned.
Qualifications
- Bachelor’s or equivalent degree in a related field and three to five (3-5) years of relevant experience in community outreach, data management, research and quality improvement.
- Experience in health care practice and / or research.
- Strong computer skills including experience with computerized data.
- Judgment, initiative, and commitment to maintaining confidentiality.
- Very strong organizational ability.
- Excellent oral and written communication skills.
- Ability to balance competing demands, and work well within a team environment.
