Responsibilities

  • Track, file and maintain executed pre-construction documents.
  • Review and track pre-construction agreements for multiple projects.
  • Assist in the development and enhancement of pre-construction reporting.
  • Assist with special projects as requested.
  • Issue RFP’s and obtain proposals for consultant services.
  • Support the design team in consultants with agreements until the project is in course of construction.
  • Help facilitate in the scanning and printing of design documents.
  • Help facilitate in the interview/presentation (PowerPoint) preparation.
  • Help facilitate in the Phase 1 Report preparation; pulling together items that are required.
  • Manage and coordinate with design team in the preparation, editing and publication of project specifications.
  • Facilitate design team in preparation and filing for state Construction Design Release.
  • Help serve as a liaison between Design and Marketing.
  • Assist Design-Build Team in the gathering and preparation of Facility Studies and presentations.

General Admin/ Duties

  • Order, receive and organize interior finish samples for project presentations.
  • Maintain and organize Architecture/Interior Design Library.
  • Coverage of front office duties on a rotating schedule up to and including front desk coverage, main line telephone answering. Longer periods of coverage could include mail distribution, conference room and lunch scheduling, etc.

Qualifications

  • Bachelor’s Degree with accounting or business classes preferred.
  • Prefer 5 years of knowledge and experience with architecture and construction.
  • Experience and skilled in the use of Microsoft Word, Excel, Powerpoint.
  • Experience and skilled in the use of both Bluebeam, E-Spec and Photoshop.
  • Experience or knowledge with standard contract terms and conditions.
  • Experience or knowledge of project structure in an architectural design environment.
  • Experience with Timberline Software or other accounting platforms is a plus.
  • Experience with Procore Construction Management software is a plus but not necessary. However, Procore certification will be required at some point.
