This position works a partially remote schedule. Employees of UMB must be residents of Maryland, the District of Columbia, or one of the states that are contiguous to Maryland: Delaware, Pennsylvania, Virginia, and West Virginia.


Essential Functions:

  • Provides contract and grant preparation review to understand requirements for the application process.
  • Prepares guidelines for the submission.
  • Provides the groundwork for the application required documents.
  • Works with management to identify priorities of gathering and processing documents and develops contract requirements containing quantifiable specifications and measurable performance criteria.
  • Review application forms, contract templates, correspondence, and selected agreements for appropriate presentation of compliance information.
  • Develops a timeline to meet submission deadlines and a checklist of required documents.
  • Generates required documents checklist for a grant application.
  • Navigates the Subcontract process through University systems, and provides the groundwork to partners to ensure the partnership complies with University standards.
  • Coordinate invoicing, accounts receivable, and deposits in the financial system and ensures payments are applied correctly.
  • Monitor encumbrance balances and that purchase orders are closed out on a timely basis.
  • Provide general research and overview of procedures and programs for billing, receipt, collection, deposits, and allocation of revenue.
  • The point of contact and advised principal investigator (PI) on financial transactions, such as travel, purchasing, or subcontracting. Follow prescribed steps in gathering and processing documents from university purchasing, travel, etc.
  • Maintain a general understanding of portfolio planning and development. Work with the pre-award team to submit continuation or extensions for projects.
  • Participate in grant preparation and provide consultation on certification of grant application within the University routing portal as needed.
  • Follow program terms.
  • Develop relationships with UMB parties and sponsors.
  • Perform other duties as assigned, such as sending notifications to staff and faculty to complete upcoming training or compliance regulations
Qualifications

Education: Bachelor's degree

Experience: Three (3) years of accounting, budget, contract, grant, or research administration experience.

Other: Financial disclosure reporting required by the State of Maryland Ethics Commission.
Related experience may be substituted for education.
Completion of a 12-credit Research Administration graduate certificate program can be considered for the equivalent of one (1) year of relevant research administration work experience.

Hiring Range: $39,000 - $45,000
