Job Responsibilities
GENERAL
DESCRIPTION
The Coordinator for Operations and Systems is a full-time, 12-month position. The Coordinator reports to the Director of Residence Life. This position is responsible for the oversight of technological systems (i.e. perimeter access control system, ID card production) and serves as the primary liaison with the Physical Plant staff. The Coordinator supervises professional Hall Directors and some student staff. The Coordinator maintains and enhances technological systems for the department.
The Coordinator is a vital member of the Residence Life Central Staff team and impacts the daily operation by participating in strategic planning, process development and implementation, training of professional and student staff, and ongoing professional developmental. The Coordinator serves as part of the on-call rotation schedule and provides guidance and leadership to crisis and critical issue interventions that impact students.
DUTIES
AND
RESPONSIBILITIES
Operations and Systems
- Oversees the maintenance of the perimeter access control system, ensuring students and staff have proper access into the residence halls, in collaboration with the Residence Life Office Manager/ID Coordinator, Information Technology (IT), and external vendors.
- Coordinates with the Office Manager/ID Coordinator to maintain the Truman ID Card printing operation and system.
- Coordinates with the Office Manager/ID Coordinator to enhance the Residence Life website.
Personnel Management/Supervision
- Provides supervision to a subset of the Hall Director team in coordination with the Assistant Director of Residence Life.
- Provides leadership to the Residence Life Office Manager/ID Coordinator regarding the ID printer system and the perimeter access system.
- Assists with the hiring process for Hall Directors and other residence life professional and student staff.
- Provides training, development, supervision, and evaluation of hall directors.
- Assists with training and provides leadership to student workers that are employed in the Residence Life central office.
- Assists with training for student staff, including Student Advisors, Community Coordinators, and summer staff.
- Conducts performance reviews of assigned staff on an annual basis.
Technology Systems
- Serves as the department liaison to Information Technology Services (ITS) to develop and maintain technological resources, processes, and services for the department.
- Trains and provides leadership to student staff who assist with technology processes within the department of Residence Life.
- Provides oversight to hall staff in developing and maintaining technology used to support hall operations. Serves as the point-of-contact for all hall-based technology needs.
- Ensure all computer systems and equipment are properly serviced and develops and implements a plan to upgrade technology systems and equipment.
Housing Facilities Liaison
- Serves as liaison to the Physical Plant and housekeeping staff to maintain a welcoming and comfortable living environment for residents.
- Meets regularly with the Physical Plant leadership team assigned to the residence communities to ensure strategic improvement and investment in residence community facilities.
- Oversees furniture repair and replacement.
- Provides oversite to residence facilities budget.
Student Involvement
- Collaborates with hall staff, the Department of Public Safety, University Counseling Services, and other campus partners regarding critical student issues, and makes appropriate follow-up and referrals.
- In conjunction with the Assistant Director of Residence Life, provides leadership and guidance to Hall Directors, Community Coordinators, and Student Advisors in implementing the student engagement and development plan.
- In conjunction with the Assistant Director of Residence Life, advises professional staff on how to respond to and support students of concern.
General Responsibilities
- Rotates weekday and weekend on-call responsibilities with the Assistant Director of Residence Life and the Director of Residence Life.
- Assists with facilitation of Residence Life staff meetings.
- Assists with the implementation of professional staff and student staff training.
- Assists in leading the summer camp and conference program for residence life summer guests.
- Perform other duties as assigned.
ESSENTIAL FUNCTIONS
Must be able to:
- learn and use various software systems related to Residence Life functions.
- communicate via telephone, video-conferencing software, email, and in person on a daily basis.
- handle multiple and complex tasks simultaneously.
- provide supervision and direction to full time staff and student employees.
- maintain professionalism when assisting prospective students and their parents, as well as current students, internal colleagues, and campus partners.
Professional Coordination
The
Coordinator for Operations and Systems must maintain regular contact with supervisor (
Director of Residence Life), Physical Plant, Campus Planning Office, Department of Public Safety, and various other campus departments to ensure facilities are well maintained to provide an appropriate learning environment for residents. Frequent and high quality interaction with students and parents is an essential component of the job.
Required Qualifications
- An earned master’s degree OR a bachelor’s degree and 2 full semesters of full-time experience in a Residence Life position.
- Demonstrated experience working with various office software programs (i.e. Microsoft Office, Google Sheets).
- Demonstrated ability to effectively collaborate with campus partners (i.e. Physical Plant, Information Technology Systems (ITS), Campus Planning).
- Staff supervision experience.
- Excellent communication skills (oral and written).
- Demonstrated ability to work positively with diverse populations and personalities.
- Demonstrated commitment to the welfare of students.
- Demonstrated ability to engage in effective problem solving, both independently and as part of a team.
Preferred Qualifications
- An earned master’s degree in higher education administration, college student personnel, or related field.
- Professional level residence life experience.
- Professional or graduate assistantship level supervisory experience.
- Experience with electronic door access systems or other housing management systems.
- Experience developing databases in Excel and/or Google software packages.
- Experience collaborating with outside vendors related to housing software and systems.
