GENERAL DESCRIPTION OF POSITION:
The role of the Coordinator of Program Administration is to provide administrative and general office support to program faculty, adjunct instructional faculty, and students spanning the totality of the curriculum.
ESSENTIAL FUNCTIONS/MAJOR RESPONSIBILITIES:
Administrative support for the School of Physician Assistant Studies (SPA)
- Work includes copying, filing, scanning, data entry, answering phones, and the general support of students, staff and faculty for SPA
- Serves as front desk reception and is the first impression/ representation of the School
- Provide administrative support to the Didactic and Clinical Teams and faculty within SPA (file, data entry, copying, Moodle etc.)
- Assist in special events including commencement, student orientation, and program advisory board meetings, gathering and organizing materials, ordering food, refreshments, set-up, etc.
- Maintains honorarium, enrollment and other data reports for each academic year
- Manage and update school website
- Communication – Assist with social media, newsletters, and collaboration with MarCom website team regarding updates and announcements
- Take meeting minutes for all SPA faculty and administrative meetings
- Assist with the administrative functions of program accreditation
- Maintain accreditation data files
- Responsible for scheduling rooms and catering for on and off campus events and meetings
- Maintains honorarium, enrollment and other data reports for each academic year
- Produces, uploads, processes and distributes course and faculty evaluations. Serves as the primary contact for IOTA360
- Tracks all immunizations and certifications in MRT, certifies background checks and drug screens in Certiphi
- Assist with managing the budget and signing off on purchases and invoices
- Update’s preceptor license expiration dates and AA expiration dates in Typhon
SECONDARY FUNCTIONS:
Perform other related duties as assigned.
JOB SCOPE:
Duties require independent decision making about administrative duties related to the didactic and clinical phase of the program. Autonomy in maintenance of Filemaker and Fortis database, Typhon and Certiphi. Requires appropriate decision-making and communication in physical absence of the Manager of Admin. Svs. Responsible for timely and diplomatic interactions with students, faculty, staff, and medical community. Must prioritize and respond appropriately to time sensitive issues.

EDUCATION AND/OR EXPERIENCE:
Experience in an automated office environment (academic, medical, etc) preferred; however, on the job training is feasible if the individual possesses the needed knowledge, skills, abilities and behaviors.
REQUIRED KNOWLEDGE, SKILLS, ABILITIES & BEHAVIORS:
- Ability to work independently as well as excellent team member skills to communicate and work well with students, staff, faculty and administrators.

WORKING CONDITIONS:
Occasional local travel to main campus and regional travel to support students and the program at conferences. Occasional night and week end duties with compensatory time off.
