WHAT YOU WILL DO:

  • Coordinate and implement the planning and organization of all ceremonial aspects of official meetings, including the IDB/IIC Annual Meeting and governor’s regional meetings.
  • Guide and apply the observance of the order of precedence at all official events that take place in the Bank.
  • Prepare executive summaries, bios, minute-by-minute programs, scripts, and talking points for the Annual Meeting and regional meeting of Governors.
  • Generate key indicators to measure the efficiency of services provided by the Protocol Office and create instructional infographics.
  • Draft protocolary correspondence including verbal notes with country members, States, and embassies.
  • Oversee the updating and implementation of policies related to Representation of Expenses of officials and the use of Symbols of the Bank.
  • Prepare, edit, and revise invitations and general correspondences related to official events.
  • Coordinate high-level visits to the Bank, including the coordination with IDB Security their arrival to expedite their access to Bank’s facilities.
  • Coordinate the periodical review of key documents such as the Section’s Frequently Asked Questions (FAQ), diplomatic lists, head of states and head of governments lists, and the Protocol Handbook.
  • Lead the preparation and execution of National Day celebrations at the Bank which includes liaising with country-members offices and overseeing the overall organization of these events.

QUALIFICATIONS

  • Citizenship: You are a citizen of one of our 48-member countries. We may offer assistance with relocation and visa applications for you and your eligible dependents.

  • Consanguinity: You have no family members (up to the fourth degree of consanguinity and second degree of affinity, including spouse) working at the IDB Group.

  • Education: Master’s degree in Social Sciences, Political Science, or International Relations, or other related fields.

  • Experience: You have at least five years of relevant professional experience in the field of international diplomacy and international organizations. Proven experience in the areas of protocol and ceremonial, especially organizing high level official events. Effective interpersonal, management, and negotiation skills validated through successful interaction with stakeholders. Proven ability in team management and collaboration.

  • Languages: You are proficient in English and Spanish. A working understanding of French and/or Portuguese is desirable.

ABOUT THIS POSITION:

  • Type contract: Staff International

  • Length of contract: 3 years

  • Business Unit: The Office of the Secretary’s main function is to provide services for the IDB and IIC Boards of Governors and Boards of Executive Directors (including their standing committees), the MIF Donors Committee, and senior management. For regular and special meetings of these governance bodies the Office of Secretary (SEC) in addition to the preparation and conduct of the meetings, also provides advisory assistance and logistical support as needed.

  • The Office of Protocol is responsible for planning, organizing, and executing events and activities at the IDB Headquarters in Washington, D.C., and in other member countries of the Bank. It advises the different Bank departments and units in matters related to protocol, and ceremonial, guaranteeing the proper application of international protocol rules. It also administers the policies of the use of Bank symbols and corporate identity, and the norms regulating Representation Expenses and the use of the Executive Dining Rooms.

  • Location: Washington, D.C.

  • Responsible person: Section Chief

The organization requires a COVID-19 vaccination for in-person business in the United States. Therefore, everyone working in HQ is required to present proof of vaccination status upon hire unless they qualify for a medical or religious exemption, subject to the Bank’s approval.
