HP Hospitality Group is a company with properties in Key Largo, Islamorada, and Marathon. We are looking for a Sales and Customer Service Manager to serve as our guests’ first point of contact and manage all aspects of their events.
Responsibilities
Mission: The Sales Manager oversees all aspects of Largo Resort Events. This position is focused on providing incomparable customer service for guests of Largo Resort. The Sales manager is responsible for managing full cycle event planning for private and winery sponsored events and works closely with a cross-functional hospitality team.
Roles and Responsibilities
· Oversees sales for all private events at Largo Resort, acting as client onsite contact when needed, and assisting with event setup and breakdown as needed
· Programming and management of event and payment platforms, including Cloudbeds
· Management of events inboxes, management of all inbound event requests via website, phone, email, in-person, third party, corporate partners, and internal
· Direct all client communication through entire event lifecycle, including securing client contract and credit card submission, and post event client follow-up
· Organize and conduct site visits, pre-planning visits, pre-con, and post-con meetings
· Ensure all vendors have appropriate licenses and insurances; approve all vendors COis
· Collect and approve complete timelines, diagrams, vendor arrival/departure times, wedding homework, and rooming lists
· Provide accurate and concise information regarding group and events to all departments
· Coordinate with vendors to ensure client satisfaction for all groups and events
· Greet all clients as they arrive on the day of arrival
· Prepare VIP amenities and thank you notes to all groups at arrival or event night
· Presence required at the start of all functions and to remain on the property until conclusion of event
· Highlight areas for opportunities for efficiencies
· Develop strong partnerships with local organizations to further increase brand/product awareness and referrals
· Conduct initial consultations with clients to discuss the wedding packages available, the type of wedding desired, and their wedding budget
· Provide innovative ideas to the client for event and ensure appropriate implementation of the same
· Confer with clients to discuss wedding details, including room block options as well as entertainment, catering, and decoration preferences
· Arrange for necessary vendors, wedding supplies, and equipment to be transported to the venue in a timely manner
· Ensure that clients' wedding gifts and personal property are packed away and secured in an assigned vehicle or designated room
· Oversee event menu development in collaboration with site Managers, create and update all guest facing menus and collateral in collaboration with Marketing
· Foster positive relationships with third party vendors, including event rental, catering, and coordination of outsourced temporary staffing; manage events vendor set-up
· Working closely with the HP Hospitality leadership team, lead event revenue forecasting and attendance goal setting meetings; utilize B2B sales and marketing to drive client acquisition to meet goals
· Provide events invoices for review and approval
· Manage calendar, including reviewing dates and sending calendar invitations for internal teams
· Working with HP Hospitality leadership, advise on events budget during annual budgeting process; adhere to department owner budgets for events and exercise expense management whenever possible
· Act as lead for event coordination, including product event memos, , event setup and breakdown as needed, and event closing (includes order reconciliation and Order Type audits)
· Work closely with out team to manage invitation schedule, event collateral, and website updates

· The ability and willingness to work a flexible schedule, including overtime, evenings, weekends, and holiday weekends such as Memorial Day, Labor Day, and Thanksgiving
· Excessive standing, walking, and regularly lifting and carrying up to 45 pounds
· Ability to demonstrate discretion, good judgment, tactfulness, and diplomacy
· Regular, reliable, and punctual attendance.
Experience:
· Bachelors Degree in related field required (preferably Business Administration, Communication, Marketing, or Hospitality Management)
· 2-4 years experience with event and staff management required
Job Details:
Pay: Starting at $14.00/hour
Schedule: Full-time, Weekend and Holiday availability, Monday- Friday availability
