Job Functions, Duties, Responsibilities and Position Qualifications:

POSITION SUMMARY

To ensure hard copies of reports are mailed out via US Mail and FedEx to the requesting physicians. Follow up to confirm clients received reports and redeliver reports when following up on failed faxes.

ESSENTIAL FUNCTIONS

  • Print and retrieve all reports from the printer and send via US Mail and FedEx.
  • As needed, send reports to the referring physicians.
  • Follow up with account management to confirm the practice location on any returned reports.
  • As needed, follow up with account management to verify the shipping method for requesting clients.
  • As needed, retrieve malignant slides from the pathologist office and ship slides to the requesting client/s. Post the outbound information in Livingston under medical sendouts to include the number of slides and FedEx tracking number.
  • Outgoing reports; print FedEx labels, weigh all US Mail envelopes to ensure sufficient postage is placed on all envelopes. Seal all FedEx packages and US Mail and place in the appropriate pick up area.
  • Send outgoing mail to the Connecticut billing office.
  • Ensure sufficient postage is in the postage meter, refill postage, request toners for the printers and keep track of supplies and request supplies as needed.
  • Keep a log of the daily postage amount.
  • Monitor that servers are working and reports are printing.
  • Print the QA list then follow up with calls to confirm clients received their reports and enter a case note.
  • Assist with failed faxes, research and redeliver reports via fax. Make follow up calls to the clients as needed.
  • Coverage at the front desk; includes answering inbound calls, slide requests and slide returns.
  • As needed, assist the Client Services Manager with any additional tasks and or special projects.

Reach with hands and arms; talk and hear. Employee must occasionally lift up to 50 pounds. Ability to distinguish and identify different colors. Ability to see clearly 20 inches or less and see clearly 20 feet or more.
  • Work environment: Work space is well lighted, temperature controlled work area. Work area may be cramped in size at times. Interruptions and changes in priorities are apt to occur and employee must be able to work effectively, efficiently and cheerfully under these conditions. The noise level in the work area environment is usually moderately quiet.
