Job description

The Data Entry Specialist position is a key administrative role within the shop. The individual is responsible for maintaining data entry integrity and maintenance history utilizing a Fleet Information Management System and its capabilities.

Essential duties include the following. Other duties may be assigned.

Sustain proficiency in respective TMT maintenance modules to include Transman and AMS Web. Leverage AMS WEB reporting functionalities to manage core responsibilities

· Utilize Masters, Orders, and System Manager menus

· Advise DOM on Reason, Complaint, Cause, and Correction code requirements

· Open, Complete, and Close detailed vendor repair orders using correct VMRS

· Reviews FRA notifications and initiates ROs daily

· Prepare, review and generate accurate invoices for internal and external customers

· Collaborate with customer support and billing departments to support client requests, questions or concerns regarding invoice billing

· Assist preparing responsible third-party accident ECODs

· Run Open RO report and reconcile Open Vendor Repair Orders and Invoices weekly

· Reconcile TMT PM report with TMW Trailer PM Report

· Furnish third party trailer maintenance provider with updated 60-day PM Due report

· Furnish trailer yard check twice daily to Executive VP, Operations VP and Operations Director

· Manage record keeping, copying, filing, and scanning of all required backup files

· Assist drivers with breakdown call guidance

· Assist in parts cycle count and tracking procedural errors

· Special projects as assigned by shop leadership

· Responsible for office supply stock levels

NON-ESSENTIAL DUTIES AND RESPONSIBILITIES

· Forge professional relationships with Vendor POCs

· Demonstrate knowledge through clear written and verbal communication skills

· Understand and efficiently complete all delegated tasks

EDUCATION and/or EXPERIENCE

  • High School diploma or a general education degree (GED) from a recognized institution
  • Administrative Specialist Certification, comparable equivalent or higher degree
  • Proficient in Microsoft Outlook, Excel and Word
  • Scan, Fax, Telephone proficiencies

Job Types: Full-time, Part-time

Pay: $18.00 - $23.00 per hour
