Position Focus:
Under the general supervision of the Dean, the Director, School of Music Facilities directs building operations for the School of Music across five buildings (Hendrie Hall, Leigh Hall, Sprague Memorial Hall, the Collection of Musical Instruments and 143 Elm Street). Oversees all construction and maintenance projects. Schedules use of school facilities and develops/maintains master schedule of events and classes. Interacts with custodial, maintenance, and security staff of the university.
Essential Duties
1. Oversees, approves, and schedules the use of School of Music facilities utilizing all aspects of Arts Vision as well as being the point person for Arts Vision. Approves rental of space in School of Music by external constituents. In collaboration with the Dean, develops policies for the use of performance facilities and for the proper maintenance of all facilities. 2. Oversees all construction and maintenance projects in collaboration with the Dean greater than the scope of routine and periodic maintenance described elsewhere, including capital construction projects and refurbishments to existing buildings. Works with the Dean to ensure the programmatic functions of the School of Music are met. Works with Yale Facilities as the “client” representing the School of Music: attends meetings, reviews designs, advocates for qualities specifically needed by the School of Music, such as acoustics. 3. Develops and manages the budget for all operations and facilities needs. 4. Supervises a team that includes Operations Assistants who operate the buildings and concert halls of the School of Music along with Piano Technicians whose priorities are set in collaboration with the Faculty Piano Coordinator and the Dean. 5. Ensures proper maintenance, security, access, and custodial needs for the School of Music Interacts with university maintenance, security, and custodial departments of Yale. 6. Works with all graduating students to schedule their recitals in Arts Vision and manage the various needs to present their degree recitals. 7. In collaboration with the Dean, reviews and approves requests for office moves; supervises all aspects of these moves, including the approval of purchases for the new spaces. 8. Manages the School’s access control systems, key distribution, and security personnel. 9. Serves as primary contact for out of hours emergencies related to facilities (alarms, etc.).10. Oversees the assignment of student lockers. 11. Oversees the moveable equipment inventory for the School.12. Leads weekly production meeting to ensure smooth operations of events for both internal and external constituents.13. Works in collaboration with the Curators of the Collection of Musical Instruments to ensure the safety and proper upkeep of the 15 Hillhouse Avenue building.
Required Education and Experience
Bachelor’s degree in a related field and a minimum of 5 years of related administrative experience or an equivalent combination of education and experience.
Required Skill/Ability 1:
General computer experience with proficiency in Microsoft Office.
Required Skill/Ability 2:
Knowledge of facilities, including physical plant, and operations of a music school.
Required Skill/Ability 3:
Ability to juggle multiple responsibilities and set priorities. Knowledge of maintenance schedules and how to judge priorities given appropriate resources.
Required Skill/Ability 4:
Ability to interact professionally with faculty, staff, and students and understand the complex operations of a School of Music within the context of a university.
Required Skill/Ability 5:
Strong project management skills.
Preferred Education, Experience and Skills:
Experience with Yale Workday. Familiarity with facilities scheduling and operations.
