Responsibilities of the Role:
As the first customer experience of Perfection Group, the Service Dispatcher sets the tone for a positive customer expectation of our service delivery. You will utilize our dispatching system to effectively maintain work schedules for our Service Representatives and assure that customer commitments are met. The Service Dispatch directs Service Technician Representatives according to the schedule and the skill sets required.
- Receive customer calls and adjust schedule as required
- Successfully complete calls and create accurate invoices
- Pleasant, warm Customer-first service focus
- Coordinate service resources and work with operations team as assigned
- Responsible for handling all customer calls, dispatching technicians, answering inquiries and conducting follow up as necessary
- Responsible for managing daily labor to appropriate levels, including releasing labor when workloads are down
- Manage/execute the technician team support functions – recording technician activity, invoicing and job costing all other labor hours weekly
- Work daily with Operations Management to prepare schedules for service visits, aligning technician's skill levels to tasks
- Maintain customer satisfaction by investigating concerns, routing them to the assigned staff and respond to special requests
- Using technology, be able to track dispatched technicians throughout the day to maintain highest productivity and cost efficiency
- Achieve short- and long-term objectives and work under deadlines
- Effectively meet the needs of internal and external customers
- Work independently and function in a team environment
- Cope with stress and maintain a pleasant and cooperative temperament with internal and external customers
- Possess the ability to perform mental tasks such as making decisions, learning, thinking rationally and exercising good judgment
- Responsible for driving the productivity and profitability for an assigned team of technicians
- Utilize the Service Management Software and demonstrate proficiency in MS Office (Excel and Word) and basic Windows environment
- Other responsibilities as assigned
What you will bring to the role:
- Minimum of Associates Degree or equivalent work experience required
- Minimum of 2 years business or administrative experience in a service industry
- Software Skills: Microsoft Office, Excel, Word experience
