*This is a 6-month, remote, 40-hours-per-week, contract position*

The Document Controller will manage the process to develop the company's Quality Management System (QMS). The incumbent will oversee the process of updating and creating our QMS, including the drafting, formatting, management, and storage of our company's QMS documents. The incumbent will be required to review, process (including editing and formatting), and file documentation. The position will routinely engage with Functional Leads, Heads of Departments and Senior Executives throughout the QMS development process. This role reports directly to the Sr. Vice President of Operations.

Key Responsibilities:

  • Coordinates the development of our QMS to be an ISO compliant system.
  • Develops and implements our document control system.
  • Assures documentation is systematically managed and aligned within the organization's systems and processes.
  • Reviews, formats, and revises/edits organizational business policies to achieve compliance with records information management policies, goals, objectives, and standardization.
  • Handling intake, scanning, verification, and storing documents.
  • Filing and archiving relevant documentation.
  • Designing templates for documents, file types, and document databases.
  • Checking and editing documents for accuracy and compliance.
  • Checking and editing documents to ensure that they link together.
  • Controlling the flow of documents in and out of the department.
  • Reporting errors or developments regarding document storage.
  • Updating and maintaining document management systems and physical records.
  • Maintaining the security of confidential documents.
  • Collects and submits QMS development task tracker on a weekly basis and issues a report to Executive Management.
  • Participates in other activities, as deemed appropriate.

Required Work Experience

  • Ability to understand and interpret federal regulations and company operating procedures as they apply.

  • Strong interpersonal, leadership, analytical and problem-solving skills.
  • Ability to communicate effectively internally and externally.
  • Preferred - Experience in developing and managing Quality Management Systems in compliance with ISO 9001 and ISO 27001.
  • Preferred - Experience in ISO audit, process analysis, process mapping, document management and record keeping.

Required Qualifications

  • A bachelor's degree in business administration, library management, or record management.
  • 5 years experience in document management, archive management, or records management.
  • Knowledge of document management systems like Sharepoint, OnlyOffice, DocuWare Cloud, Rubex.
  • Proficiency in document capturing systems like CAPSYS Capture and Xerox DocuShare.
  • An excellent grasp of Microsoft Office programs.
  • Detail-focused document organizing abilities.
  • Familiarity with the relevant regulations regarding document keeping and handling.
  • Able to proactively manage database changes using software management systems.
  • Time-oriented approach to handling queries and tasks.
  • Strong knowledge of PC systems, and MS Office Suite (Word, Excel) required

Travel Requirements

  • As required, but can expect up to 5% travel
  • Remote work schedule
