Job Summary

As the Estimating Coordinator, you will assist the Estimators with coordinating projects and documentation in support of producing and assembling accurate bids. Working within the Estimating Department in the solicitation of subcontractor bids, distribution of plans to qualified bidders, follow up and review of bids with Estimator and/or Project Manager.

Duties and Responsibilities

  • Manage/create, distribute, and/or submit documents related to and generated by the bidding and/or proposal process including requests for information, scope letters, proposal packages, bid forms, subcontractor and vendor quotes, bid bonds, and assign MGE bid/job numbers.
  • Pulls and organizes bid items electronically in HeavyJobs and Vista.
  • Review and filter bid requests.
  • Completes prequalification packages by obtaining information from multiple sources.
  • Providing general administrative support, maintaining calendars, organizing, and filing paperwork, including confidential and time-sensitive material; preparing presentations, and maintaining records and data systems.
  • Effectively and accurately communicate relevant project information to prospective subcontractors.
  • Support Estimators in their bids from the initial setup to the final closeout of the bid process.
  • Create and maintain project bid lists, Estimating Team Pre-Construction Database, and vendor/subcontractor information in the company database.
  • Assist when needed to prepare project bid packages, including completing bid documents, envelopes, forms, etc. when necessary.
  • Enter estimates in HeavyBid based on RFPs submitted by project management.
  • Logging pre-fields into Precon and placing pre-field into job folders.
  • Document procurement using SAP.
  • Transfer bid information to project management and accounting software.
  • Perform job setup for major and routine emergency call-outs.
  • Compile and submit Subcontractor and Supplier Utilization Plan (Exhibit 1a)
  • Research and gather information for new bid opportunities.
  • Complete and administer preliminary construction notices such as Precon Log Distribution, north pre-field needs, awarded job log, and comms bid log.
  • Performs other related duties as assigned.

Qualifications and Experience

  • A general understanding of construction terminology is required.
  • Ability to read and understand Contract Documents including contract drawings, specifications, requests for proposal/qualifications, contracts, etc.
  • Ability to read and interpret technical documents, including spreadsheets, schedules, RFI's, etc.
  • Effectively prioritize and execute tasks in a high-pressure environment.
  • Ability to regularly interact with peers’ customers, and management.
  • Excellent written and oral communication skills.
  • Foster and maintain a positive team environment.
  • Proficient with Microsoft Office Suite applications.
  • Required: 1-2 years of administrative experience
  • Desired: 2 years of experience working in a construction environment.

Required: Successful candidates must pass the following pre-employment requirements prior to beginning employment: drug screen and background check. Background checks include, but are not limited to, Social Security Verification, Prior Employment Verification, Motor Vehicle Records, Personal and Professional References, and Criminal History.

Education

  • Required: High School Diploma or GED equivalent required.
  • Desired: Bachelor’s degree (or currently enrolled to pursue a degree) in construction management, engineering, or related field preferred.

Compensation

The salary range for an Estimating Coordinator in Yuba City, CA is $23.25 - $37.69 per hour.

The above salary range represents MGE Underground, Inc.’s competitive compensation at the time of this job post. Pay within this range will be determined based on a number of factors, including but not limited to, experience, education, skills/abilities, and applicable knowledge.
