As a Coordinator, Meetings & Events, you will use your skills to coordinate logistical aspects of in-person, virtual, and hybrid corporate events from start to finish. You will support a team of meeting planners on all aspects of each event, work collaboratively with new regional coordinators, Finance, Legal, and vendor partners, create and manage registration websites and event communications, and provide on-site logistical support as needed.
Job Responsibilities:- Create single and multi-path registration websites, event invitations and attendee emails, maintain contact lists and upload invitee lists utilizing Cvent.
- Perform attendee management duties including rooming list management, registration support, answering queries regarding meeting logistics, etc.
- Manage and distribute reports for all assigned events, including onsite planner report package for each meeting.
- Research venues, vendors, and destinations for planners.
- Maintain annual event schedule, including survey ratings.
- Manage ground transportation with selected vendors, requiring working knowledge of event management and ability to understand group air and car service manifests, and manage changes.
- Create and maintain Uber and Lyft group codes for selected meetings.
- Knowledge of or ability to learn Survey Monkey; create and manage post-meeting attendee and host surveys.
- Strong Excel skills for project budgets and event databases.
- Working knowledge of PowerPoint to provide speaker support at some offsite meetings and Word, including mail merge function.
- Oversee all print production (agendas, welcome packets, name badges, departure notices)
- Assist meeting manager(s) in obtaining approval for all contracts; working with Legal to ensure adherence to deadlines.
- Process invoices for all assigned events; adhere to all contractual payment schedules.
- Manage team expense reports in Concur; submit regularly and ensure compliance with all travel policies.
- Reconciliation of all Corporate Planner Cards according to established billing cycle.
- Maintain inventory for office supplies and meeting/event supplies.
- Pack and ship meeting supplies for programs, maintain accurate shipping logs, provide planner with return shipment packet.
- Possess at least 2-4 years supporting a meeting planning department, either at an agency or within a busy corporation.
- Cvent-certified or working toward Cvent certification.
- Excellent knowledge of MS Office (Excel, PowerPoint, Word), Outlook and CONCUR Travel Online Booking Tool and CONCUR Expense tool.
- Working knowledge of event management and ability to understand airline and car service manifests and manage changes.
- Must be a collaborative team player, a creative thinker, and an accomplished multi-tasker who enjoys a challenge, is reliable and has a keen eye for detail and very high standards.

- Excellent written and verbal communication skills.

- Travel: 20 – 40% (mostly domestic, but some international may be required in future)
- Ability to lift up to 50 lbs.
- Two (2) positions available:
- 1 N.A. Coordinator, Northeast – must be within easy commute of Jersey City, NJ
- A. Coordinator, Southeast – must be within easy commute of Alpharetta, GA
- Role may at times work remotely, but must be able to adhere to Arch’s in-office policy (currently 2-3 days per week in office, days travelling for business count as in-office)
- For individuals assigned or hired to work in , the base salary range is USD $61,500.00/Yr. to USD $79,900.00/Yr. as of the time of posting. Position is incentive eligible.
- Total individual compensation (base salary, short & long-term incentives) offered will take into account a number of factors including but not limited to geographic location, scope & responsibilities of the role, qualifications, talent availability & specialization as well as business needs. The above range may be modified in the future
