Under the supervision of the Associate Director of Athletics, the Events Coordinator performs administrative and office management duties in support of intercollegiate contests and all department events. This position requires initiative, independence, strong written and verbal communication skills, and strong organizational skills.

Characteristic Duties & Responsibilities:

  • Work cooperatively with the department office manager in the organization and planning of all intercollegiate contests, home and away, for our 22 teams. This may include assisting the office manager with game contracts, official’s assignments, and transportation.
  • Oversee all athletics department events. Work closely with the director of athletics, associate director of athletics and the office of advancement to ensure the highest quality events for all of our constituents.
  • Work collaboratively with the office of alumni relations while planning special events that include athletics alumni and families.
  • In addition to annual event planning, assist the director of athletics and the senior associate Director of Annual Giving with the department’s annual fundraising campaign, Mule Madness.
  • Manage usage of mascot costume and coordinate costume cleanings as needed with the equipment manager.

The department currently hosts the following events on an annual basis:

  • Golf Classic - Assist in all areas of planning and executing the department’s annual golf outing, including securing sponsorships and registrations, planning menus and gift packages, communicating with the venue and with alumni, corporate sponsors and friends of the athletics department in an effort to raise funds and cultivate relationships.
  • Hall of Fame Committee meetings and Annual Hall of Fame (HOF) Induction Ceremony - Duties include, scheduling HOF Committee meetings, keeping minutes, coordination of event logistics, responsible for set-up of event (Media Services, Catering, Staging, rentals, Hall of Fame video and powerpoint, distribution of invitations and RSVPs, event program, Inductee survey and communications, plaques, medals).
  • Weikert Award - Annual award presented during alumni weekend at halftime of the football game. Order trophy, contact with Weikert Family, send invitations, reserve tickets and arrange parking.
  • Football VIP seating - Coordinate communication with football VIPs and assign reserved seating at all home football games.
  • Muhlenberg Moravian Brunch - Work collaboratively with Moravian University in planning the Muhlenberg Moravian Brunch prior to the annual football game. Provide Moravian guest list for the years the event is at Moravian and coordinate communication with the Muhlenberg community. When hosting the brunch (every other year), secure space, select the menu with catering, send out invitations in conjunction with Moravian’s guest list, order trophies, arrange parking.
  • Scotty Wood Weekend - Work collaboratively with men’s & women’s basketball coaches and the wrestling coach to assist in the planning and marketing of Scotty Wood Weekend.
  • Annual Conference Championship Anniversaries - Work with alumni affairs and head coaches in planning and organizing all conference championship anniversaries.
  • Chi Alpha Sigma - Work with the senior woman administrator in planning the annual Chi Alpha Sigma induction ceremony. Set up online registration, order cords, and coordinate on campus events.
  • Senior Recognition Ceremony - Organize and plan the annual Senior Recognition event held during Senior Week. Work with the equipment manager in order gifts, utilizing vendor rebate dollars, coordinate details of the event with the office of sports information and Muhlenberg Athletics Leadership Team (M.A.L.T)
  • End of Season Team Banquets - on a limited basis provide guidance for coaches in coordination of their end of season banquets.
  • Assist with all department gatherings, including weekly meetings, department retreats, holiday celebrations and department webinars.
  • Team Golf Outings (Football, Soccer, MLA, Baseball, Softball) - On a limited basis provide guidance for coaches in coordination of team golf outings.
  • 100 Club - On a limited basis provide support of Football’s 100 Club meetings and calendar of events.
  • Postseason Contests - Assist the Office Manager and athletic administration in the coordination of all postseason competitions. Work collaboratively with members of the department when hosting Centennial Conference, NCAA and ECAC events. Assist with completing the required applications, host forms, and travel arrangements.

While no one person may possess all the qualifications listed below, the ideal candidate will have many of the following professional experiences and characteristics:

Qualifications:

  • High school diploma or equivalent required.
  • Computer experience including demonstrated proficiency with Google Workspace, MS Office, and database applications.
  • Strong communication and interpersonal skills.
  • Minimum 1-year relevant professional experience, with the ability to work independently, manage multiple priorities in a fast-paced environment, and to efficiently collaborate with others in a team environment.
  • Must be able to coordinate, prioritize, and complete assignments and exercise discretion on confidential matters, as needed.
  • An active commitment to diversity, equity, inclusion and belonging.
  • An interest/appreciation of athletics and recreation preferred.
  • Occasional evening or weekend work required.
  • Professional and welcoming interpersonal skills modeling a service orientation and an eagerness to work in a college environment.
  • Satisfactory completion of standard background checks, including but not limited to education verification, driving record, national criminal background checks, and child abuse clearance required.
