Role & Responsibilities

The Administrative/Executive Assistant will report to and work closely with the Office Manager in supporting the senior executive team (including but not limited to: Executive Vice President / Chief Financial Officer (“EVP / CFO”), Senior Vice President (“SVP”) with critical path workflow activities as well as day-to-day activities and has overall responsibility of all administrative functions as follows:

· Assist in answering phones and direct calls to appropriate parties and / or take messages.

· Work closely and effectively with OM maintaining CFO and SVP heavy meeting schedule and managing commitments.

· Handle / file confidential materials.

· Completing projects and special assignments by establishing objectives; determining priorities; managing time; monitoring progress; problem-solving; making adjustments to plans. Prioritize conflicting needs; handle matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.

· Prepare reports, collect, and analyze information; prepare presentations. Create, update, maintain, and distribute site organizational charts. Assist in development and edit documents and presentations.

· Set internal and external meetings, prepare agendas, reserve and prepare conference rooms.

· Assist with corporate travel arrangements and meetings for the CFO, SVP, other senior management, and trading team by creating itineraries and agendas; scheduling air travel; booking other transportation; arranging lodging and meeting accommodations, assisting in event planning. Resolve issues in accordance with the company's travel policies.

· Quality Control, ticketing, follow-up, passport, and visa assistance.

  • Utilize preferred vendors to maximize cost savings. Maintain vendor’s information via utilized platforms.
  • Has a detailed understanding of airline rules, industry contacts and rewards programs. Stays informed of airline rules and regulations, tariffs, and other industry requirements, and accurately applies this information when making travel arrangements.

· As a valuable team player of the Administration Department will provide assistance within the department, to management, and to other departments with various tasks as directed.

Skills and Qualities

The Administrative Assistant is a fast learner and a multitasker, organized, possesses strong written and oral communication skills with strong attention to detail. In a very fast paced environment, the candidate needs to show initiative and be willing to be flexible as objectives can change during the working day.

Proficient in the Microsoft Office Suite (including but not limited to Outlook, Excel, Teams, PowerPoint, etc.), Zoom. Will utilize appropriate mobile phone applications for efficient lifetime tracking and booking various items.
