We’re looking for a highly motivated, highly organized, business-experienced, super-resourceful, crystal-clear communicating, tech-savvy, problem-crushing, and get-it-done fellow vegan — to join us in our Tempe, AZ office as the Executive Assistant.

As our team’s Executive Assistant (EA), you’ll be directly helping company leadership build our team, our culture, and executing both the standard/administrative work of the company, and key projects. You’ll be working with the company’s leaders, so this is an opportunity to learn a lot about business quickly (certainly more than a typical MBA program), in the fast-paced environment of a growing, mission-driven company.

We support self-education and deliberate career planning & development, and for someone with integrity, intelligence, energy, and foundational professional skills (organization, communication, problem-solving, technology, and leadership), there are few limits to how quickly you can take on more responsibility, learn more skills, and reap the rewards thereof.

Salary & Benefits

  • This is a full-time on-site role, minimum 45-50 hours/week. To succeed in this role, hard work and constant learning should be second nature to you. Also, career success and mission impact should be your top priority in life.
  • We offer a starting salary of $70k per year, dependent on experience and qualifications. Further pay increases and responsibilities will be offered based on performance, your skills development, and your initiative and drive — and for great performance, reviews and raises will come quickly.
  • Total Time Off per year starts at over 4 weeks per year. (6 paid holidays, 5 sick days, and 12 PTO days) with sick and PTO time usable interchangeably, and accrued per fully employed pay period.
  • Health, dental, vision, and life insurance plans are offered, with full or partial coverage by the company depending on the plan chosen.

Qualifications

  • Minimum 5 years of experience as an EA or similar role (e.g. small business general manager), with increasing responsibilities and progression in roles you’ve filled. You should have clear leadership, management, and project management skills. To us, the EA is much bigger than a typical assistant role; you won’t be getting coffee for anyone, instead we’ll need you to be the right-hand person of company leadership.
  • Schooling & Education: Your formal schooling should include a Bachelor’s degree or higher; and lifetime education should be one of your ingrained habits, along with the Growth Mindset (a core value at LeafSide), and being curious & challenge-seeking. (Per Twain: “I have never let my schooling interfere with my education.”) Quantitative and analytical skills should be evident, e.g. college-level mathematics courses.
  • Character & Interpersonal Skills, i.e. adjectives that apply to you include authentic, reliable, curious, highly capable, highly organized, adaptable, diplomatic, persistent, resourceful, and last but certainly not least, high energy.
  • Proactive Problem-solving: You are able to anticipate the needs of company leaders, and regularly think ahead, avoiding and solving problems with care and resourcefulness — before they become major issues.
  • Communication Skills: You have excellent verbal and written communication skills, and to others you’re engaging, empathetic, clear, and assertive in your writing and speaking. You pair that with strong listening skills so that everyone you deal with feels heard and understood. Formal training in negotiation skills is a bonus.
  • Technology & IT Skills: You’ve used many forms of software, and you quickly pick up new tools. You are more than proficient in Google Suite, e.g. creating well-organized Docs & doing calculations in Sheets. Paired with your proactive problem-solving above, you solve most tech problems on your own.

Responsibilities/Duties

EA work will be divided into two types: Standard Work (SW, daily business operations), and Improvement Work (IW, special projects).

  • EA Standard Work (SW): Recruiting, onboarding, off-boarding, and personnel/HR tasks (payroll, benefits) & getting advice from experts & attorneys as needed. Office Management & Support including basic IT support, document management, bookkeeping assistance; Culture-building incl. overseeing team culture events & processes. Managing meetings w/ accurate notes & follow-ups. Communications to 3rd parties.
  • EA Improvement Work (IW): Projects meant to significantly improve company sales and/or profitability. Examples: Research for company leadership; Finding & managing consultants, agencies, and other professionals to get high-leverage projects done.
