Executive Assistant / Office & Project Manager for Short-Term Missions

Petros Network is a US and Canadian nonprofit organization with a global presence across South Sudan, Ethiopia, Uganda, Kenya, and Myanmar. As we expand our reach, we are looking for a highly motivated and skilled individual to join our team as the Executive Assistant and Office/Project Manager for Short-Term Missions Trips.
Our mission is to empower indigenous leaders to share the life-changing message of Jesus and reduce spiritual and physical poverty among their own people. We envision a world where a vibrant, missional, community-impacting church is within walking distance of every village. Through these local indigenous churches, women and girls are empowered, food insecurity is managed, children are fed, clean water is available, healthcare is improved, and education out of poverty is possible. To date, we have planted over 6600 unique village churches across 112 denominations, reached 6 million people with the Gospel, and have welcomed 1.4 million new believers. While planting churches is our priority, we believe the Gospel must also be expressed through our compassion efforts. Our international teams support indigenous sustainability projects and a variety of compassion projects all tailored to the needs of each village or area.
As our organization grows, the Executive Assistant and Office/Project Manager role is critical. You will provide essential administrative support to the Senior Leadership Team, while also managing high-level projects and events for the organization and its Founders. This position oversees a small US office and serves as the travel project manager for our short-term mission trips, ensuring that all logistics are in place for a successful outreach in-country. In addition, you will engage with our international offices to advance our ministry. Essential Duties & Responsibilities:
- 50%: Executive/Administrative Assistant / Project Manager for the organization and Founders
- This role provides administrative support for the Founders (Managing and Executive Directors), and as capacity allows, the Senior Leadership Team.
- Using online tools, function as the organization's project manager. Helping founders with high-level activities and projects.
- Oversee corporate calendar.
- Take minutes at board and committee meetings.
- Prepare events and activities for the Senior Leadership Team.
- Utilize strong Microsoft Office skills in formatting large documents in Word and Excel (i.e., program training manuals).
- Responsible for documenting office processes and procedures in Mindmaps and Standard Operating Procedures.
- Maintain notes and capture action items at the end of team meetings.
- Assists department leaders as there is capacity.
- Office Manager
- Oversee basic office functions and staff care, maintain organization project plan
- Purchase supplies.
- Manage facility/office/equipment issues.
- 50%: Short-term Missions Trips Manager
- Develop and manage our short-term mission trips program/ministry as a departmental ministry – 4 countries, 6 locations.
- Program Management/Leadership
- Obtain Standard of Excellence (SOE) Certification for Petros Network
- Build out our short-term mission trip experience following SOE (Standards of Excellence) practices.
- Develop a pre-trip and post-trip training plan following SOE
- Administrate pre-trip training and post-trip debriefings according to SOE Standards.
- Travelers Management
- Build trip budgets according to trip itinerary.
- Manage the short-term trip portal (Service Reef) for enrollment and team management.
- Recruit and care for trip participants through churches, online leads, social media
- Manage all travel arrangements for trip participants.
- Nurture team participants through the international trip process.
- Monitor trip state-side, ensuring travel is going smoothly for team.
- Field Teams
- Build program budgets according to trip itinerary.
- Manage field logistics for program/training beneficiaries.
- Prepare lead binders for Team Leaders.
- Organize Program shipments/luggage and distribute them throughout the team.
- Purchase and prepare program supplies/materials for on-the-field.
- Storytelling
- Help gather trip stories and activities for the Communications team to share via social and email to traveler donors while on trip.
- Collaborate with the Communications team to manage team photos.
Required Knowledge, Skills, and Abilities:
- Bachelor's degree preferred or equal work experience.
- 5 years of experience in a similar role or similar skill sets.
- Strong technical and communication-tech skills.
- Must have commanding skills in Microsoft Office.
- Experience with Microsoft Teams, OneDrive, and Sharepoint a plus.
- Ability to work with project management tools. The organization is currently using ClickUp.
- Excellent communication and interpersonal skills.
- Proven ability to lead teams.
- Ability to work independently and as part of a team.
- Strong attention to detail and accuracy.
- The gift of hospitality is appreciated as you care for trip participants.
- Ability to manage multiple priorities and meet deadlines in an evolving, fast-paced environment.
- Experience in an international context, non-profit, church or philanthropic, a plus.
- Serve as an advocate for the ministry, striving to nurture, broaden and develop opportunities to support and expand organizational and program ministry.
