This job is primarily remote but must be able to meet at our office in Lilburn, GA on a weekly basis.

Organization Background:

The Lewy Body Dementia Association (LBDA) is a 501(c)(3) organization headquartered in Lilburn, Georgia, and is the leading resource in the United States for those affected by Lewy body dementias (LBD). LBDA is dedicated to providing outreach and education to families struggling with LBD, raising awareness of LBD among the general public and medical profession, and advocating for increased research funding.

LBD is considered the second most common form of neurodegenerative dementia in the elderly and affects approximately 1.4 million people in the United States alone. It accounts for at least 20% of all dementia cases.

LBDA Mission:

Through outreach, education, and research, we support those affected by LBD, their families and caregivers. We are dedicated to raising awareness and promoting scientific advances.

Job Responsibilities

  • Manage CEO’s calendar, coordinate appointments and travel; coordinate bi-annual Board of Directors meetings including hotel, AV, meals, travel details, and documents
  • Prepare documents for Board of Directors, Committees, staff, and other meetings; organize and distribute, manage communications; create reports, confidential correspondence, and files
  • Work in coordination with contract Bookkeeper to access financial reports, submit CEO expenses, manage administration budget, communicate with staff on behalf of Bookkeeper
  • Manage various accounts and communicate with vendors to fulfill their requests, such as insurance brokers and auditors; establish new and renew current contracts and accounts; update account information
  • Complete business office duties, including communications, handling documents, providing updates to CEO; organize and maintain files and records
  • Communication: handle correspondence in a timely and professional manner, screen calls and meeting requests, communicate with Board Directors, Committee Members and others to ensure timely completion of projects
  • Anticipate business needs of the executive, both on a routine and a project basis
  • Develop and maintain a system that alerts executive to upcoming deadlines or events.
  • Maintain a strategic and analytical mindset, with a focus on continuous improvement to enhance effectiveness.
  • Assist with new hire onboarding process and facilitate candidate pre-employment testing

Qualification Requirements

  • An associate’s degree in business administration, communications, or other relevant field AND 3 years of experience supporting executive level administrative operations. Any combination of relevant education and experience may be substituted for the educational requirement on a year-for-year basis
  • A strong background of providing administrative support to executives. Non-profit experience is preferred.
  • Ability to effectively and respectfully work, communicate, and collaborate in diverse, multicultural, and inclusive settings
  • Ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality is crucial to this role.
  • Expert level written and verbal communication skills, strong decision-making ability and attention to detail are equally important
  • Ability to work effectively in on a variety of time-sensitive projects
  • Ability to adapt to changing priorities
  • Demonstrated effective interpersonal, written, and oral communication skills
  • Proficiency in use of Microsoft Office programs including Word, Excel, Outlook, and PowerPoint
  • Experience in maintaining a high level of confidentiality
