Green Payments is looking for a bright, organized, and motivated individual for an Executive Assistant position. The Executive Assistant will perform administrative tasks supporting Ben Ross, Chief Operating Officer, and be an integral member of the team.

Job Responsibilities

  • Provide direct administrative support for COO
  • Coordinate and maintain the COO’s calendars and effectively manage all scheduled activities (including business meetings, travel arrangements, personal appointments and outside commitments)
  • Strategically manage COO’s time with respect to the organization’s priorities, goals, and objectives. This includes understanding important initiatives, preparation requirements, and managing evolving calendars accordingly
  • Review CRM and group emails to ensure anything needing escalation gets attention and resolution
  • Manage open projects and recurring tasks (Asana)
  • Screen and redirect calls, as appropriate
  • Prepare, arrange, compile and assemble materials for client visits and other team projects
  • Schedule and coordinate meetings for the team and team members
  • Planning, coordinating and keeping contents of a meeting focused
  • Overseeing strategic business initiatives from ideation to implementation
  • Identifying and helping solve core problems or opportunities within business processes
  • Providing support and oversight for special projects and initiatives
  • Working with leadership to deliver, monitor and communicate progress towards goals
  • Providing tactical support to implement ideas
  • Draft, review and send company-wide communications
  • Work independently, as well as with the Sales, Operations & Client Services teams on projects
  • Plan Onsite and team building events for the Sales, Operations & Client Service teams
  • Monitor office supplies and order items as needed
  • Answering telephone calls and emails from customers and clients and directing them to relevant team members
  • Assist with vendor relationship management and invoice management
  • Prepare spreadsheets and/or PowerPoint presentations as needed
  • Compose notes, letters and miscellaneous correspondence
  • Organize and manage Travel needs for team members
  • Take notes in meetings and organize what's needed for follow up
  • Take on other administrative tasks as needed
  • Provide back- up administrative support to other executives as needed
  • Additional responsibilities to be determined based on capacity, skill and interest

Qualifications

  • A minimum of 3-5 years of administrative experience
  • A high degree of professionalism and strong work ethic coupled with a sense of responsibility and integrity
  • Excellent judgment and discretion in handling confidential information
  • Excellent interpersonal skills, dependability, and the ability to communicate with all levels inside and outside of the organization
  • Strong initiative and good judgment
  • Ability to solve problems and troubleshoot with general oversight from managers
  • Excellent organizational skills with the ability to prioritize and multitask
  • Strong partnering and collaboration skills required
  • Willingness and ability to take direction from multiple sources required
  • Proficiency with Microsoft Office computer programs, specifically Word, Excel, PowerPoint, and Outlook required
  • Proficiency with CRM a plus
  • Flexibility to work outside of standard business hours as required

Pay: $40,000.00 - $50,000.00 per year
